Position Description:
Under the direction of the Chair and CAO of the Physiology Group, the incumbent provides high-level analytical, administrative, and academic personnel support to the Physiology Group, including its three Chairs (Chair of Department of Integrative Biology and Physiology (IBP); Chair of Undergraduate Neuroscience IDP (uNSIDP); and Chair of Molecular, Cellular and Integrative Physiology (MCIP); two Vice Chairs (IBP's VC of Academic Personnel and VC of Postdoctoral Affairs); and the Chief Administrative Officer (CAO) of the Physiology Group. Primary responsibilities have many academic personnel components: managing and coordinating the faculty recruitment process for IBP and uNSIDP, including ladder and part-time faculty search, recruitment, and hiring processes within Recruit; assisting with renewal appointments, annual promotion and merit requests, search waivers, and policy interpretation; providing support to the faculty search committee; gathering and analyzing information to support academic policies and procedures; and assisting with budget and funding entries for approximately 100+ Academic Student Employees (TAs and Readers) hired by IBP and uNSIDP annually. Incumbent is to carefully track these academic personnel actions and ensure application, recruitment, appointment, waivers, promotions, merits, renewals, and other paperwork submission deadlines are met in a timely manner.
Other responsibilities include creating and managing the department's complex calendar of events and deadlines; coordinating meetings, scientific seminars, and other educational, research and general departmental activities; creating content and designs and posting to IBP's website and social media; and producing and analyzing a wide variety of administrative and academic documents. Furthermore, the incumbent is responsible for leading the coordination of various academic and research award nominations, such as the Academic Senate's Distinguished Teaching Award, TA Teaching Award, the Life Sciences Research Awards for Ladder Faculty, and Non-Senate Faculty and Lecturer Teaching Awards. The incumbent has oversight of purchasing, including purchase orders, travel, and reimbursements for the Chair's Office and is responsible for creating analytical reports, such as budget reports and reports detailing activities using data available; and coordinates and organizes the 8-Year Departmental Review processes.
Incumbent is to assist the CAO with various special projects in the development and implementation of the Physiology Group's various academic programs and activities such as developing innovative new outreach programs to promote external relations and development. Incumbent is to set and monitor Chairs' and CAO's calendars, and organize/maintain office system and files.
Incumbent serves as the administrative liaison between the Physiology Group's CAO; Chairs of IBP, uNSIDP, and MCIP; faculty; department administrators; and other University officials. Incumbent exercises a high degree of independence, initiative, and discretion in carrying out duties.
