Description:

This position reports to the Central Stores Manager II of Materials Management Distribution Services. Responsibilities includes evening time accountability for operational functions of the Transport, Central Sterile, Supply Distribution, and Linen areas. This position requires daily flexibility to perform responsibilities, knowledge of routine policies and procedures and adherence of safety and infection control standards. Support the medical center by working under indirect supervision of the Central Stores Manager II or Assistant Director of Materials Management Logistics The Central Stores Manager will oversee and direct the daily activities, schedules, and assignments of employees in storage, inventory, and distribution of materials and tools. Employees in this job supervise and direct the activities of lower-level staff responsible for storeroom or warehouse activities. The work requires knowledge of methods and procedures related to the receipt, storage, and requisition

Duties & Responsibilities:

  • Under the leadership of the Assistant Director of Materials Management, develops a business plan to implement the organizational goals, objectives and standards pertaining to the restocking of linen and medical equipment rounding, decontamination, storage, distribution, and patient transports.
  • Routinely assigns staff to perform cycle counts and procures additional equipment as needed.
  • Annually assists in the coordination of physical inventory.
  • Utilizes statistical data, both standard and custom reports, to assess, implement, assign, and routinely evaluate staffing requirements to meet or exceed established customer satisfaction and departmental quality indicators.
  • Responsible to develop a staffing plan that meets all fixed and variable requirements.
  • Sets assignment priorities, deploying and reassigning staff, as needed.
  • Provides a staffing plan that complies with budgetary guidelines.
  • Works directly with individual Central Stores Managers and Supervisors of all areas to ensure adequate staffing and training needs are being met for all 2nd shifts staff.
  • Schedule needs to be flexible to attend departmental meetings during normal business hours & attend meetings with the Assistant Director of Materials Management as needed.
  • Participates in the selection of new employees under the direction and recommendation of the Assistant Director of Materials Management and provides orientation, training, ongoing communication and periodic assessment of skills and performance for all staff consistent with departmental, hospital and university procedures and standards as well as any contractual and/or regulatory obligations.
  • Monitors staff performance on a continuing basis and submits status reports.
  • Promotes and provides positive employee recognition.
  • Coordinates or assists in the activities of the operation with the purchasing function; recommends material or equipment purchases to Assistant Director, Materials Management Logistics.
  • Recommends new or replacement equipment during budget preparation or as circumstances require (new or expanded services).
  • Assist in orientation of new employees to each work assignment area and total department operations.
  • Recommends or establishes policies, procedures, and methods to maintain or improve standards of operations in the receipt, storage, processing, issuance, delivery, and material-acquisition of supplies.
  • Ensures staff adheres to Materials Management Department policies and procedures, guidelines, and non-academic policies & procedures.
  • Maintain complete understanding of the department’s software applications including running reports.
  • Utilizes system to achieve organizational and operational objectives.
  • Cross-trains appropriate staff on various systems to ensure optimum use and to formulate programs to improve unit operations.
  • Prepares operational reports related to service efficiency, inventory, budgets, and/or quality.
  • Responds to requests, both routine and as required, utilizes reports to monitor staff productivity, customer satisfaction and quality data.
  • Performs other related duties as assigned.
  • Following organizational guidelines, develops an internal and external disaster response plan and provides ongoing staff training.
  • Ensures compliance by staff with Environment of Care procedures.
  • Evaluates and verifies employee performance through the review of completed work assignments and work techniques
  • Provides general and direct supervision to storeroom employees, clerical classes, and other relevant employees approves time off and creates work schedules.
  • Participate in project meetings and report on progress therein.
  • Troubleshoots Par excellence system.
  • Selects, administers, and documents progressive and corrective disciplinary measures.

Minimum Qualifications Required:

1. Any one or combination totaling four (4) years (48 months) from the categories below:

A. College coursework in business administration, accounting, finance, operations management, or a closely related field as measured by the following conversion table or its proportional equivalent:

  • 30 semester hours equals one (1) year (12 months)
  • Associate’s Degree (60 semester hours) equals eighteen months (18 months)
  • 90 semester hours equals two (2) years (24 months)
  • Bachelor’s Degree (120 semester hours) equals three (3) years (36 months)

B. Progressively more responsible work experience in business or materials management functions (such as accounting, sales management, purchasing, stores/warehousing, and/or materials distribution).

2. One (1) year (12 months) of responsible work experience in business or materials management functions (such as accounting, sales management, purchasing, stores/warehousing, and/or materials distribution).

Preferred Qualifications:

  • Previous supervisory-level experience.  
  • Previous experience with Supply Chain Distribution.  
  • Experience with Banner and/or ASCS, McKesson, strongly desired.
