POSITION PURPOSE

The Education Coordinator will support the operations & administration of the Clean Energy Institute’s academic programs at the University of Washington. Position Purpose: The UW Clean Energy Institute (CEI) supports the advancement of next-generation solar energy and battery materials and devices, as well as their integration with systems and the grid. CEI creates the ideas and educates the people needed to generate those innovations, while facilitating the pathways to bring them to market and into the frontline communities that have been disproportionately harmed by fossil energy emissions. The Education Coordinator will support CEI research programs and develop academic programs (for graduate and undergraduate students) and K-12 outreach (grades 4-12 students). The Education Coordinator will report to the CEI Associate Director of Education and Workforce Engagement. This position will assist in the operations of CEI academic programs, coordinate summer research experiences for students and teachers, maintain an ambitious education program with regional and national visibility, and support the development and design of effective and high-quality education modules. The Clean Energy Institute has high visibility within the UW, academia, and the local and global climate-tech community. It is funded by Washington state and has specific milestones and expectations to meet on an annual basis. CEI’s outreach and academic programs play an essential role in educating students and training teachers throughout Washington, enhancing UW’s impact in frontline communities and competitiveness for research grants, and engaging the public in CEI’s and UW’s

DUTIES AND RESPONSIBILITIES

Program Coordination  – 50%
• Support the REU/ALVA/RET programs in collaboration with the CEI Associate Director of Education and Workforce Engagement. This involves: promoting the program to targeted audiences, administering the application process, recruiting lab sponsors, coordinating with service partners, and performing rigorous evaluation to ensure they meet program education, research, and diversity goals.
• Support the day-to-day operations of the CEI Graduate Fellowship program, including coordinating applications for the program, assisting with recruiting, and developing programmatic content for Fellows, managing the MOLENG 599 course CANVAS page and serving as course liaison.
• Create and maintain a calendar of events, engagement opportunities, and other goings-on for CEI Fellows.
• Regularly update and maintain CEI Educational documents to ensure alignment with goals of CEI.
• Maintain a database of student participants, volunteer activities, special awards and tracking after graduation.
• Write, design and distribute a weekly digest for CEI Fellows and stakeholders highlighting successes and opportunities for engagement. Build listserv for newsletter with contacts from outreach events.
• Coordinate the purchase of goods and service using a variety of methods including Procard and eProcurement. Communicate regularly with buyers on complicated orders and maintain line of communication between the vendor, purchasing and faculty or staff placing the order.
• Process orders for supplies and maintain inventory of outreach kits.  Repair, restock, and redesign outreach kits as needed.
• Review purchase requests for compliance with the UW and funding agency policies. Resolve problems by following up with vendors and the purchaser. Prepare purchase orders and various other purchasing forms.
• Process student award payments and reimbursements for CEI Fellows when needed.
• Assist CEI Associate Director of Education and Workforce Engagement in managing the CEI’s signature grades K-12 outreach program that has regional and national visibility. This program sets the stage for center-level broader impacts activities, while supporting the broader mission of the UW in education, diversity, equity, and inclusion.
Event Coordination – 25%
• Independently manage the Clean Energy Institute Interdisciplinary Seminar Course, soliciting speaker nominations from Institute members, coordinating nominations and invitation process.
• Regularly update and maintain CEI Seminar documents to ensure alignment with goals of CEI to include best practices for diversity, equity, and inclusion.
• Manage Clean Energy Institute Interdisciplinary Seminar logistics (~9 seminars/year) including travel arrangements, meeting schedule, conference room reservation, food and catering, announcement distribution following established processes and policies, and arranging honorarium payments to speakers.
• Provides administrative support to UW MEM-C Education outreach and events such as annual conferences and bi-annual NSF site visits.
• Assist in coordinating the MRSEC Annual Meeting and CEI’s biannual conference, ORCAS: International Conference on Energy Conversion & Storage.
• Assist in coordinating the CEI Fellowship Onboarding Day. Reserve rooms, order catering, and coordinate agenda, ensuring branches of CEI are fully represented through faculty speakers.
• Managing Summer Program and Outreach event coordination and logistics (~5 events/year) including travel arrangements, housing, meeting schedule, conference room reservation, food and catering, and announcement distribution following established processes and policies.
• Organizing and coordinating outreach events at K-12 schools in partnership with CEI Education and Training Fellows.
• Coordinate, organize, and provide administrative support for special meetings and events as requested by the Associate Director of Education and Workforce Engagement. Reserve rooms, arrange food or catering, and provide equipment and materials. Provide supplemental administrative support for large meetings and conferences managed by event staff, attend planning meetings as requested. Help clean-up after events, returning furniture, supplies, refreshments, and other leftovers to permanent storage.
• Develop agendas and draft invitations, reports, surveys, and other professional correspondence, which often contain confidential or sensitive information.
Scheduling - 15%
• Serve as the backup scheduler for the Chief Scientist of the Clean Energy Institute.
• Serve as the scheduler for the Associate Director of Education and Workforce Engagement. Maintain the Associate Director of Education and Workforce Engagement’s calendar and schedule meetings with keen attention to duration, transportation time, and advance preparation time required.
• Communicate on behalf of the Associate Director of Education and Workforce Engagement with faculty, staff, and education partners, as well as external partners.
• Schedule quarterly Trainee & Faculty Advisory Board (TFAB) meetings and TFAB. Subcommittee meetings on behalf of the Associate Director of Education and Workforce Engagement and Operations Manager. Attend TFAB Subcommittee meetings to take notes and record recommendations and deliverable report-outs.
Other Duties as Assigned  – 10%
• Participate in college/school meetings and contribute to committees.
• Serve on event teams to support large events, conferences and summer programs.
• Other duties as assigned.

MINIMUM REQUIREMENTS
• High school graduation or equivalent AND two years of experience in program operations OR equivalent education/experience
• Experience with Microsoft Office (specifically Excel, Word, and Outlook)
• Must be highly organized, punctual, and reliable
• Able to work as a team member and independently
• Strong organizational, task management, and prioritization skills
• Demonstrated commitment to diversity and equity and ability to form productive working relationships with students, staff, and faculty from diverse backgrounds

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

DESIRED QUALIFICATIONS
• One year of office or administrative support
• Ability to perform statistical analysis of financial data and prepare reports
• Experience working in an academic environment or a service-oriented organization

• May have to work some events/meetings/conferences that are outside business hours
