The UM-Dearborn College of Engineering and Computer Science (CECS) is seeking a capable, energetic, and dedicated individual to fill the role of Business Administrator Associate. The Business Administrator Associate provides a wide range of high-level, skilled and creative support to College leadership across a wide range of functions. In addition to the specified qualifications, successful candidates will have a creative approach to problem solving, a strong customer-service focus, work collaboratively with colleagues throughout the college and university, and thrive in a dynamic environment. Successful candidates will ensure timely service, routinely exceed expectations, demonstrate initiative, and work with a sense of ownership for outcomes.
As high-level administrative staff for CECS, the Business Administrator Associate has a variety of responsibilities that vary daily.
General Support: Provide guidance to various constituents on the interpretation of University and College policies and procedures.
Provide special project management for the College leadership, as directed, including research and investigation of issues, and development of solutions with agreement from units and staff.
May include some direct work with a range of student organizations affiliated with CECS.
Human Resources: Assist with college-wide HR related functions for student employees including Graduate Student Assistants.
Assist with management of faculty HR. Includes maintaining records to ensure adherence to departmental, college, and university policies and procedures as well as applicable bargained-for contracts.
Coordinate CECS visiting scholar processes in collaboration with CECS leadership and departments, the Office of International Affairs, and Human Resources.
Financial: Participate in financial reconciliation process including document retention, problem solving, and communication of status.
Assist with management of CECS annual operating budgets and projections, including annual budget development process.
Execute complex financial transactions according to relevant policies and procedures. Typical transactions include purchasing equipment and software.
Prepare and distribute regular and ad hoc reports as requested by CECS leadership.
Assist with policy and procedure development in accordance with best practices.
Assist with annual gap analysis and sub-certification process.
Assist with Concur expense report preparation and review by CECS Director of Business Operations.
Research Administration: Assist with CECS proposal reviews and post-award research administration matters as requested.
Other duties as assigned.
- At least 5 years of higher education working experience
- Bachelor’s degree or equivalent combination of education and experience
- Knowledge and understanding of university policies and procedures
- Experience with data management and reporting
- Organized, willing to learn new things, and flexible in a changing environment
- Demonstrated ability to undertake multiple tasks at the same time and be able to prioritize among those multiple projects, with a high value placed on accuracy
- Strong attention to detail
- Excellent interpersonal, communication, and customer service skills
- Advanced proficiency in relevant software (Microsoft Office Suite; Google Tools for Education)
- Demonstrated ability to work both independently and as a team member
- Strong and creative problem-solving skills
- Demonstrated ability to serve a diverse population
- Consistent attendance, dependability, punctuality and reliability
- Relevant University of Michigan experience
- Deep knowledge and understanding of University of Michigan systems, policies, and procedures
- Understanding of externally sponsored research
- Experience with Business Objects query development
