Summary

The University of Michigan-Dearborn has an exciting opportunity currently available for an Assistant to the Dean of the College of Engineering and Computer Science (CECS).   We are seeking a highly motivated, committed individual to provide quality, professional administrative support to the Dean and key members of the CECS administration.  This position is a key role among the Dean's staff and will provide skilled administrative support exercise initiative, independent judgment, diplomacy and have a service-oriented attitude, while utilizing discretion and appropriate judgment regarding sensitive and/or confidential matters.


Responsibilities*

Direct and coordinate daily operations of Dean's Office, including:

  • Provide financial support - p-card reconciliation, gift card management, procurement, and consultant payments.
  • Review incoming printed and electronic mail for sensitivity and urgency and obtain information to facilitate action from the Dean. 
  • Prepare, organize and distribute appropriate background materials for meetings, for inquiries and visitors.
  • Maintain the Dean's calendar with complete accuracy; including planning meetings, allowing for travel time, sending reminders, and arranging for catering when needed
  • Oversee travel arrangements and itineraries, and conference arrangements.
  • Offer professional communication and hospitable reception of the Dean's guests
  • Maintain and organize records
  • Compose correspondence for higher-level signature

Serve as resource and liaison, including:

  • Participate on CECS and campus-wide committees as relevant and/or assigned.
  • Assists the CECS community with the interpretation of University, college, State of Michigan, and federal policies, procedures and guidelines as it relates to CECS.  
  • Provide high-level support for CECS committees
  • Primary liaison with other units (e.g. Chancellor's, Provost's, Vice-Chancellor's and other administrative offices), as appropriate
  • Serve as primary point of communication with external constituents.
  • Serve as a Student Organizations liaison to CECS.

Compile data, statistics, perform analysis, and prepare necessary reports, presentations and policies.

Plan and coordinate execution of special large-scale events, various receptions, luncheons, events and activities for CECS working in close partnership with the staff and faculty in the necessary departments and the Dean's office.


Required Qualifications*
  • Bachelor's degree and/or an equivalent combination of education and experience
  • 3-5 years of progressively responsible administrative experience
  • Demonstrated ability to create and edit clear communications with excellent grammar and spelling.
  • Strong ability to communicate in a helpful, clear, effective, and informative manner by email, telephone, in person, and within groups.
  • Significant experience with event planning.
  • Strong commitment to effective and collegial teamwork to sustain a positive and collaborative work environment.
  • Strong organizational skills and dependability.
  • Strong analytical ability is required in order to gather and summarize information, solve administrative problems, and prioritize work assignments. 
  • Proven ability to pay attention to detail and produce accurate work.
  • Demonstrated success using standard tools for administrative support positions (e.g. Microsoft Office Suite, web-based calendaring system, etc.)
  • Demonstrated ability to learn new software tools to meet the job requirements.
  • Proven ability to manage multiple projects with competing priorities and deadlines.
  • Strong interpersonal skills and ability to successfully and diplomatically work with all levels of faculty, staff and students.
  • Demonstrated ability to work effectively with individuals from diverse communities and cultures.
  • Extremely reliable and able to handle confidential information with discretion.
  • A commitment to personal and professional integrity, including 100% compliance with honest, forthright behavior in all business activities, and readily admitting and correcting own mistakes.
  • Have a positive can-do attitude, attention to detail, and a focus on customer service are essential
  • A strong sense of accountability, including a commitment to organizing, prioritizing, and planning own work activities according to established timelines and schedules, and to anticipating issues in accomplishing work and communicating in advance to affected parties.

Desired Qualifications*
  • Bachelor's degree with 5+ years of progressively responsible administrative experience.
  • Knowledge of U-M policies and procedures.
  • Experience with M-Pathways financial and administrative systems, experience with Business Objects queries.
