Job Summary

RIT Catering is currently hiring for the role of Catering Sales Supervisor. This position is responsible for overall management, maintenance, and user training for RIT Catering’s event management software. Assist Sales Manager and Operations Manager of Catering to ensure that all phases of the event planning process are completed in a professional manner. Guide customers through planning and execution of events. Work closely with clients to ensure their expectations are exceeded; provide supervisory support as needed. Collaborate with the Sales Manager on administrative duties including fiscal responsibility. Must have a good working knowledge of available resources, and the ability to communicate well with others verbally and in written form.


Job Responsibilities

RIT Catering is the premier catering service on the RIT Campus providing services to over 2500 events a year ranging from drop off meals to full service dining. We are looking for a motivated individual to join our team and help RIT Catering continue to grow positively.
Please note:  This is a full time position-40 hours per week/12 months per year. Schedule is made up 2 weeks in advance, however hours may vary according to daily business needs. Additionally, flexible scheduling/work hours may be required during break week, summer and intersession. In addition, large institute events may require additional hours (such as commencement (graduation) and Imagine RIT Festival).

Responsibilities:

  • Responsible to all customers and co-workers to provide excellent service in a friendly, sincere and courteous manner. Must maintain a professional demeanor at all times.
  • Coordinate catering requests for major institute functions: Board of Trustee meetings, Commencement, Imagine RIT, NRS Gala, Brick City Weekend, President’s Alumni Ball, RITiree Picnic, Orientation, Veterans Day Breakfast, Liberty Hill and other President’s Office events. Represent the Catering Department at related logistic committee meetings
  • Plan event logistics for internal groups and external clients, on and off campus
  • Advise clients on space usage, menu planning, service type, room arrangements, and pricing
  • Verify and confirm specific event details with customers including all changes and modifications; maintain and update event management software on a daily basis. Ensure timely communication of event changes to event and production staff
  • Oversee logistics for catering operations at the Gene Polisseni Center – collaborate with the athletics department to plan all athletic-related catering; season ticket holder club lounge dinners, alumni hospitality, suite hospitality, team meals, and tailgate parties. 
  • Work closely with the Events Manager for the University Gallery & Global Village Plaza to ensure flawless catered events in our exclusive catering rights spaces
  • Perform administrative activities, reports, billing, record keeping and other related tasks
  • Collaborate with other campus service departments (Facilities Management, Tech Crew, Production Services, etc.) to ensure that clients’ needs are met
  • Supervise catered events as needed; oversee event staff, drive box truck to transport food and equipment
  • Train and supervise sales office student employees and co-ops
  • Assist Sales Manager with marketing plans, securing future business opportunities, budget processes and projections, and identifying potential for growth
  • Monitor general departmental email account, respond to customers’ questions and concerns in a timely manner
  • Prepare interdepartmental transfer sheets for product movement. Process all vendor invoices
  • Generate custom reports for fiscal reporting purposes, assist with AR tracking and follow up with overdue payments when necessary
  • Maintain a flexible schedule for early morning, late evening and weekend coverage of events coordinated through our office
  • Work on other projects as assigned by Sales Manager
  • Possess a good working knowledge of all working positions in Catering. Give clear and concise directions
  • Enforce all RIT, New York State and Monroe County health codes and alcohol policies as they relate to health, sanitation and safety
  • Attend staff and other necessary meetings to provide good communication among all employees involved in Catering
  • Other duties as assigned.

Required Qualifications

  • 1 to 3 years experience in high volume catering, supervision and customer service
  • Passionate about food, familiar with different cooking techniques, and possesses a desire to continuously improve skillset.
  • Approaches customers, coworkers and subordinates in a tactful, respectful manner, with a focus on exceptional customer service.
  • Intermediate MS Office Suite skills.
  • Excellent phone and written communication skills.
  • Ability to manage multiple tasks simultaneously, work with a sense of urgency, and in an organized manner.
  • Maintains a positive attitude when working alone, with a team and under pressure.
  • Good problem solving and troubleshooting skills.
  • Demonstrate willingness to take initiative and make decisions within established guidelines.
  • AllerTrain and ServSafe certified, or complete training successfully within 6 months of hiring.
