Position Summary:      

The Yeshiva University High School for Boys (MTA) is seeking an Office Manager who will have responsibility for a wide range of administrative and executive support and management related tasks. The Office Manager independently manages and oversees the activities of the office for the Head of School and Executive Director.

Position Responsibilities:

The Office Manager provides administrative support by coordinating staff and general administrative functions to include:

  • Review and edit language of emails/communications to ensure they are aligned with school messaging and philosophy.
  • Assist with communications to parent and student body, including shiva notices.
  • Create and execute events from planning to execution; assist with all school-wide events including open house, back to school nights, parent son breakfast, scholarship campaign and Day of Giving, year end siyum, graduation.
  • Establish and maintain relationships with vendors.
    Understand and maintain event budget alongside the Executive Director.
    Responsible for Final Forms: Making sure parents and students submit forms accurately and on time.
  • Assist with daily and late night school transportation; includes coordinating routes and communication with bus companies. Responsible for emailing students and parents when there are bus delays. Register students for metrocards and followup with metrocard distribution.
  • Building and Facilities Maintenance: Coordinate with Housekeeping and facilities staff to ensure that classroom and event setups are properly managed. Create work orders for building maintenance. Enter events into event system.
  • Liaison with housekeeping staff throughout the school day as necessary.
  • Responsible for overseeing purchasing of office and school supplies; catering orders; educational licenses etc. Follow up with Legal and Purchasing departments as needed. Establish and obtain specific supplies for programming e.g. books, paraphernalia, themed items.
  • Oversee mailings and mail merges for incoming freshman, open house, admissions events, graduation and other school events as needed.
  • Prepare expense reports for students, parents, faculty and administration as needed. Follow up with Accounts Payable as needed.
  • Maintain school and student records, including:
    Academic files and schedules
    Health Records
    Parental releases
    Admissions files
    Course schedule, student registration and class lists
    Transcripts, diplomas
  • Assist with planning an coordinating Student Life, Admissions and shiur events and programs.
  • Execute various responsibilities with the YUHS dinner and scholarship campaign.
  • Proactively forward plan upcoming events, Jewish holidays and Community events
  • Maintain the schools calendars.
  • Keep track of office and event inventory and replenish as needed.
  • Monitor budgets and business affairs, personnel matters and interpreting policies and procedures.
    Supervise, monitor or coordinate the activity of office staff.
  • Present to faculty, students, current and prospective parents, and guests, a warm, helpful and proactive presence as a first point of entry and interface to school leadership, culture and community.
  • Advise and/or determine which expenditures are within budget guidelines.
  • Work with office staff on database entry, preparation of reports, mailings and other activities relevant to office; assists in answering phones.
  • Initiate or coordinates the preparation of reports and maintenance of records pertaining to the operation of the school.
  • Ensure reliability and accuracy of departmental databases and/or paper files.

Experience & Educational Background:

  • Bachelor’s Degree and 3-5 years of office/clerical experience which includes two years in a supervisory capacity. Equivalent combination of experience, training and/or education will be considered.

Salary Range:

$38-$38/hr
