Job Summary:

The College of Arts and Sciences Office of Graduate Admission (OGA) is seeking a dynamic and detail-oriented student to join their team. Under the supervision of the Assistant Director of Graduate Admissions, the student will assist with administrative tasks, support prospective student initiatives, and contribute to the smooth operation of the OGA office.

Key Responsibilities & Primary Duties:

  • Create a welcoming office environment 
  • Answering incoming phone calls
  • Coordinating, sorting, opening, scanning, and indexing daily mail
  • Entering prospective student data into application database (Slate)
  • Data entry: assists with processing transcripts, letters of recommendation, international documentation, correspondence, etc.
  • Mass mailings of prospective student packets
  • Shipping packages – organizing large multi-item mailings for staff recruitment travel 
  • Mailing international and domestic admission letters – organizing and expediting daily admission letter and I-20 mailings 
  • Responds to email inquiries from prospective students, applicants, and admitted students 
  • Provides support and assists staff with occasional on-campus events (some weekends and evenings) – may be required to work up to three events per semester: Main Campus Open House and two Admitted Student Events 
  • Assists with receiving, organizing, and maintaining accurate records of supplies in our storage units (at work site)
  • Help maintain/order office supplies for the entire HR office and assist in keeping the office tidy
  • Other duties and special projects as assigned     

                                                                          

Qualifications:

  • Advanced computer skills – experience with some data entry and Excel preferred
  • Problem solvers wanted – must be able to identify problems, errors, or issues, and bring them to a supervisor’s attention
  • Must be able to work with minimal supervision
  • Must have strong verbal and written communication skills
  • Must have very high attention to detail
  • Excellent organizational ability
  • Ability to work independently and within a group/team
  • Ability to maintain strict confidentiality and the ability to interact with all levels of personnel
  • Customer-service oriented attitude
  • Full-time undergraduate student status at USF - (work-study preferred)
  • Ability to work consistent part-time hours throughout the academic semester
  • Be willing and able to work remotely over winter and spring intercessions as well as through Summer breaks
  • Must be able to lift or pull up to 25 pounds
  • Professional demeanor
