Job Summary

Serves as a primary contact for students, staff, and faculty questions on Career Academic Resource Center (CARC) resources and programs.


Position Description

Reporting to the Associate Director, Career and Academic Resource Center, the Staff Assistant provides administrative support for the Career and Academic Resource Center (CARC), answering and triaging student and faculty questions and queries, and assisting in other projects as needed. This position informs students, faculty, and staff about CARC offerings through periodic updates and communications. The ability to adeptly and creatively navigate different technology platforms, in addition to the customer service element, will be a key feature of this role.

Primary responsibilities include:

Faculty Aide Program

Helps execute some aspects of faculty aide program: compiling, editing and posting 60+ jobs each semester and hiring students each term; weekly maintaining and updating of student records via FileMaker database; maintaining and updating statistical reporting. Will work closely with the Division of Continuing Education’s (DCE) human resources and payroll staff to aide in the hiring of faculty aide student workers each semester.

Academic Skills Webinars

Helps to execute aspects of 25-30 academic skills webinars delivered each semester including: creating, proofreading, and sending promotional materials to students; train new instructors in the use of webinar technology; outreach to presenters; webinar facilitation; post-webinar, post-term, and post-year reporting; maintaining and updating Vimeo webinars recording archive.

Programming Support

In addition to the promotion of CARC webinars through periodic communication, the Staff Assistant will help maintain the CARC website through periodic updates – including site maintenance, uploading and updating webinar recording pages, updating calendar listings, and keeping other pages current as needed.

Performs related duties as required including: student database management (Salesforce and Filemaker); statistical reporting; email promotion (Marketing Cloud) for CARC podcast series.


Basic Qualifications

  • Minimum three years' experience in high-volume customer service with diverse populations.
  • Education beyond high school may count toward experience

Additional Qualifications and Skills

  • Experience providing customer support in an educational setting.
  • Demonstrated excellent oral and written communication skills.
  • College degree preferred but not required.
  • Proven ability in using Word, Excel, databases, PowerPoint and Outlook.
  • Knowledge of Salesforce, BANNER, and website management would be helpful.
  • Must provide a high level of clerical and administrative work with great attention to detail, and have the ability to handle a variety of tasks independently.
  • Must be responsible in handling confidential student information.
  • Familiarity with Harvard a plus.

This position will be based in Cambridge, MA. DCE is currently trialing hybrid workplace models with a minimum of 2 days per week on campus. DCE may adjust these as necessary or appropriate.
