Job Summary

Under the supervision of the Campus Physical Security Systems Manager in Campus Security, supports the Institutes Card System (Blackboard/Transact) and provides both analytical and technical support. Maintains the smooth operation of the Card Office; works closely with Dining and Busar staff to maintain student account, and performs other duties as requested. 

This position is classified with an emergency response designation of Essential Reporting. An employee designated as Essential Reporting has essential job skills that are needed for response and recovery, and is expected to report to campus as soon as possible.


Essential Job Duties 
  • Produces and supports all on and off-campus Caltech identification cards, including for all new faculty, staff, students, and external affiliates (including for some off-site locations).
  • Maintains inventory of card production supplies and ensures adequate inventory on hand to meet the needs of the campus.
  • Supports the Blackboard/Transact Card system.
  • Update lost card and prox numbers in Transact, WinPak, and ProWatch.
  • Coordinates with Dinning and Housing staff to ensure account-related requests are appropriately routed and addressed.
  • In coordination with Human Resources and the Registrar’s Office, ensures that all staff/faculty/student data interfaces are processed accurately and timely. Coordinates with Security Systems Manager to ensure that designated cardholders are given building access privileges as approved by the head of the Department/Division.
  • Works with Student Housing to ensure that all cards are prepared in a timely manner at the start of the main academic year and during the summer term. Confirm undergraduate room access is accurate.
  • Interfaces with the Bursar’s office to maintain customer accounts, including collaborating with dining staff to post payments and account adjustments.
  • Assists Divisions and Departments with identification card needs.
  • Maintains and troubleshoots the video imaging system, including the Data Card PC, and ID card printers. Performs preventative maintenance and conducts image quality checks.
  • · Maintains and troubleshoots Blackboard/Transact-related hardware, network equipment, and card production hardware.
  • Creates photo rosters for various divisions/departments using Microsoft Access or Excel.
  • Maintains campus card website and provides customer service in person, online, and by phone.
  • Maintains the Caltech Help Desk and replies, closes, and reassigns tickets as necessary.
  • Other duties as assigned. 

Basic Qualifications
  • Bachelor’s degree in information systems or similar discipline, or equivalent combination of education and experience.
  • General technical savvy and troubleshooting capabilities.
  • Must be able to lift at least 30 lbs. of computer equipment.
  • The selected candidate must pass a pre-employment background investigation and post-offer physical examination to be hired for this position. 

Knowledge, Skills & Abilities:
  • Ability to analyze data and write reports and recommendations.
  • Ability to represent the Card Office as a liaison between internal and external clients, including vendors, contractors, and various departments and divisions on campus.
  • Knowledge and expertise in Blackboard/Transact or other point of sales systems.
  • Conceptual understanding of database functionality.
  • Familiarity with various hardware and peripheral equipment including card readers, printers, and network cabling.
  • Proficient in MS Office applications, including Word, Excel, PowerPoint, Publisher, and Outlook.
  • Ability to interact with all members of the Caltech community while maintaining a high degree of confidentiality.
  • Capable of working with minimal supervision in a multi-task-oriented environment.
  • Excellent customer service and communication skills, both written and verbal.
  • Works in a highly visible customer service environment with a myriad of personalities on multiple projects, with simultaneous deadlines.
  • Excellent technical and quantitative/analytical skills. 

Preferred Qualifications
  • Intermediate to advanced knowledge in Blackboard/Transact systems.
  • Intermediate to advanced knowledge in AiM/FSR.
  • Basic knowledge of Honeywell WinPak and Honeywell ProWatch access system.
