Job Summary
The Campus Scheduler & Administrative Coordinator for Events and Summer Programs plays a crucial role in coordinating and managing campus facilities, scheduling events, and supporting summer programs at Bowdoin College. This position serves as the primary point of contact for event scheduling, room reservations, and logistical coordination across campus.
Essential Functions:
  • Oversees all aspects of the computerized campus scheduling system and assists students, faculty, and staff in scheduling and publicizing events.
  • Coordinates the marketing, registration, accounting, and implementation of externally focused programs such as the Bowdoin Art Camp and the Bowdoin Summer Day Camp and coordinates the summer student-housing program.
  • Provides key staffing at major academic year events.
  • Provides administrative support for the department, including answering phone calls, responding to emails, tracking/ordering office supplies and other administrative duties as assigned.
  • Effectively communicate and foster relationships with other campus departments and services. particularly those that work closely with the events office such as Facilities, Dining, Event Production, Onecard, and Security.
  • Provide staffing and service at the OneCard office front desk for 3-4 hours each day, including but not limited to – printing ID cards for faculty, staff, students, and other guests of the College; answering questions about OneCard and troubleshooting basic issues over the phone or in-person; assisting customers picking up keys or other items that are prepared and awaiting pickup.

Pay and Benefits:
  • Hourly range for this position is expected to be: Minimum $25.80 – Maximum $27.00/per hour

Education/Skills Requirements
Required:
  • High School diploma or GED equivalent.
  • Excellent organizational, interpersonal, and customer service skills.
  • Demonstrated record-keeping ability and attention to detail.
  • Strong oral and written communication skills
  • Strong software user-interface, including demonstrated computer proficiency in Microsoft Office Suite, as well as, comfort in working with database software and the ability and willingness to learn other software, as needed.
  • Ability to collaborate and build strong working relationships with colleagues in the Events and Summer Programs Office and across campus
  • A commitment to excellence and the mission of a top-tier liberal arts college.

Preferred:
  • Associate’s or Bachelor’s degree preferred.
Experience Requirements and/or Equivalents
Required:
  • Minimum of 2 years experience working in a professional office environment that requires customer service.

Preferred:
  • Prior experience scheduling in an educational setting.
Standard Work Days and Hours
  • This is a full-time, year round position working 37.5 hours/week (0.94 FTE).
  • Monday – Friday, 8:30 am – 5:00 pm, with occasional evening and/or weekend hours to staff events during peak periods.
