Required Qualifications (as evidenced by an attached resume):

Bachelor’s degree (foreign equivalent or higher. In lieu of the Bachelor’s degree, an Associate’s degree (foreign equivalent or higher) and two (2) years of full-time administrative experience may be considered. One (1) year of full-time administrative experience (student experience may be prorated). Experience with Microsoft Office Suite and/or Google Workspace. Customer service experience.
Preferred Qualifications:
Administrative experience in higher education or building management. Experience with hiring. Experience training and/or supervising student staff. Experience with project and/or data management. Experience working with a diverse college population. Experience with 25 Live.
Brief Description of Duties:
Reporting to the Assistant Director of Safety and Support Services, the Residential Community Center Coordinator provides professional and administrative support for the day-to-day evening operations of our Residential Community Centers. The position is a hands-on facilities management role ensuring safety and security across our Community Centers and outdoor programming spaces.
The Staff Coordinator must have the ability to quickly learn and retain information and provide accurate information to all Campus Residences areas. The position requires working knowledge of planning, coordination, and management of large events for students, staff, faculty and/or University stakeholders. The successful incumbent will exemplify a strong work ethic and integrity, with excellent customer service, oral and written communication, and interpersonal skills, exercising strong organizational and time management skills with exceptional attention to detail. The incumbent must be able to multitask in a fast-paced environment.

  • Facilities:
    • Manage and assume responsibility for the nighttime operations of Residential Community Centers (Mendelsohn Community Center, Roth Community Center, Tabler Community Center, and Benedict Lobby), reservable Campus Residences interior and exterior spaces. Prepare daily logs and reports highlighting evening events, facility usage, event operations procedures, data collection analysis, and provide updates on a weekly basis. Meet regularly with the Assistant Director and Assistant Coordinators with updates and logistics.
  • Event Management:
    • Manage and support nighttime activities, events, residential education programming and related services from an events management perspective. Review, mitigate risk, implement controls, and provide support to programming and event requests within the Community Centers and other reservable residential programming spaces. Provide a high level of customer service for all events and programming initiatives. Coordinate quality execution, set up and take down of events. Assist with meeting pre-planning expectations and compliance with New York State fire and building codes and other referenced safety standards. Assist student clubs, faculty, staff and clients with planning and implementation with media support for conferences, symposia, and special events. Interaction with clients may include face-to-face or online meetings, telephone, and email.  Prepare facilities for performances including setting up staging, video, computer, lighting, sound, and other presentation support materials. Manage inventory of all equipment and provide on-site troubleshooting and technical support, as necessary, for events, presentations, conferences, and other programming efforts. Operate complex audio and visual equipment.
  • Reservations, Communication, & Resource Referral:
    • Assist in coordinating all Campus Residences reservable spaces, including Community Centers, exterior residential locations and other meeting spaces. Utilize event management program 25 Live, to process reservations for reservable spaces by students, clubs/organizations, departments, conferences, and special events in accordance with departmental procedures and University guidelines. Advise requesters on facility use, University policies and procedures governing facility use, programming, food permits, operation-related information, and implementation. Maintain and compile records and data related to facilities use. Utilize computerized software to input data. Confirm/cancel/reschedule reservations as necessary. Record and distribute daily logs, provide critical weekly updates, and submit mid-year and annual reports on facility use.
  • Student Staff Oversight:
    • Supervise and delegate clearly defined responsibilities to student event assistants within the Residential Community Centers during the nighttime operation hours. Assist with Subitup scheduling application, recruitment, training, scheduling hours review and approval. Other duties or projects as assigned as appropriate to rank and departmental mission.
  • Professional Development and Committee Involvement:
    • Participate in opportunities that promote your learning, growth, and development (i.e. classes, training, committee, webinar, etc.). Contribute to the Division of Student Affairs and Stony Brook University by attending and/or supporting events, activities, and programs sponsored by areas outside of your individual unit/department (i.e. campus wide traditions, events, programs, etc.) Other duties or projects as assigned as appropriate to rank and departmental mission. Hours outside the normal work schedule will be required at times.

Special Notes:
This is a full-time appointment. FLSA Non-Exempt position, eligible for the overtime provisions of the FLSA.
In addition to the employee's base salary, this position is eligible for $3,087 UUP annual location pay, paid biweekly.
Essential Position: This has been designated as an essential position based on the duties of the job and the functions performed. Positions that are designated as such may be required to report to work/remain at work even if classes are canceled, and the campus is working on limited operations in an emergency.
Shift Hours: Tuesday - Saturday (4:00 p.m. - 12:30 a.m.)
