Summary of Job Duties:

The Department Business Administrator will provide administrative support for the Central Access Business Center including direct administrative support to the Senior Director, Directors, and Sr. Business Manager. The Department Business Coordinator serves a key role in the daily operations and administration of human resources, payroll, purchasing, planning, property management, statistics and tracking, recordkeeping, travel, policy administration and compliance, budget, and general accounting.

Qualifications:

Minimum Qualifications:

  • Bachelor's Degree in Business, Health Care Administration, Finance, Accounting or related field PLUS 4 years of experience in administrative support, business, or finance OR Associates Degree PLUS 6 years of experience in administrative support  OR High School Diploma/GED PLUS 8 years of experience in administrative support.
  • Experience with Outlook & Microsoft Office including Word, Excel, and Publisher.

Preferred Qualifications:

  • Experience with Kronos, Workday, Visio, and EPIC.
  • Knowledge of UAMS Procedures, Processes, and Policies.

  • Maintain accurate and up-to-date employee records including the electronic personnel record.
  • Perform human resources-related activities including but not limited to all Workday functions; manage position requisition from initiation to hire; prepare for new employee onboarding, manage and track separation processing and track vacancies.
  • Act as department expert in human resources regarding policies and procedures.
  • Track performance evaluations, credentials, training compliance, and assist management staff in all human resources related activities.
  • Administer FMLA, ADA, Workers Comp, Short-Term Disability, and proper use of leave.
  • Serve as timekeeper for weekly and monthly staff; maintain all time and attendance records for regular, vacation, holiday, sick, CEAL, FMLA, and other leave according to policy guidelines; review and confirm that time entered is true and correct prior to payroll close; communicate time-related issues to managers and assist staff in understanding issues related to payroll and time.
  • Coordinate administrative functions and provide general support to all departments within Revenue Cycle.
  • Maintain calendars, schedule appointments, coordinate meetings, prepare agendas and presentations, coordinate special events of various levels of complexity, send out reminders, follow-up on action items an retain department records per retention policy.
  • Record meeting minutes, transcribe, distribute for approval if required and archive meeting minutes and documentation.
  • Generate correspondence, maintain open lines of communication with employees and promptly address requests as they arise to provide proactive solutions.
  • Ensure employee, vendor, and other records are current, organized and accessible; track employee training compliance and evaluations, and report deficiencies as needed.
  • Receive, sort and distribute mail; order supplies and maintain inventories; process service orders and equipment maintenance requests.
  • Serve as a source and point of contact for staff inquiries, communicating with Business Managers and Division Business Administrator as required to respond to inquiries.
  • Organize and assist in tracking position posts/reposts, onboarding, transfers, and separations; track hiring requisitions and request transfer of employee files and documentation.
  • Prioritize work functions, set goals, manage tasks efficiently, and communicate effectively and proactively with all customers, providing extraordinary customer service and follow up.
  • Triage multiple email accounts and provide back up for timekeeping and payroll functions and respond to employee and/or management payroll inquiries.
  • Work closely with Business Managers and Revenue Cycle leadership to assure the division is running smoothly, facilitate special projects and perform other duties as assigned.
