Job Summary

Under the supervision and general guidance of the Director of Business Operations, the Associate Business Systems Analyst is responsible for the oversight, analysis, and support of various IT systems within Student Affairs (SAO) and Student Auxiliary Services (SAS). The Business Systems Analyst also plays a key role in the development and implementation of SAO & SAS business systems and processes. Works closely with Caltech Information Management Systems & Services (IMSS) to ensure that SAO & SAS applications meet Institute compliance and documentation standards, and are properly supported and maintained.


Job Duties
  • Under general supervision, become the system owner and subject matter expert for all Student Auxiliary Services (SAS) business applications. Also provides general IT expertise in support of Student Affairs business applications more widely.
  • Under general supervision, and in cooperation with IMSS, responsible for upkeep, maintenance, and security of all SAS database applications.
  • Independently creates and implements automated reports and reporting tools to improve and enable SAS & SAO management’s decision-making.
  • Independently monitors and troubleshoots moderately complex financial transaction workflow.
  • Utilizes multiple databases, query tools, and business applications to generate complex financial reports and data sets.
  • Drives the planning, design and development of business processes and system procedures.
  • Independently develops documentation and training materials for business system process and procedures based on user needs.
  • Recommends and implements changes to existing processes, reports, and applications.
  • Evaluates modules of moderately complex new or existing applications to align with Institute practices.
  • Modifies, sets-up and/or configures moderately complex software applications.
  • Creates moderately complex scripts for testing and reporting.
  • Liaises with external vendors and contractors in equipment installations and/or software upgrades.
  • Regularly interacts with members and representative of internal and external campus departments to develop partnerships and foster cooperation.
  • In conjunction with IMSS, monitors standards for database integrity and recovery; monitors procedures for data and database security access control.
  • Monitors and enforces adherence to documented business system procedures and standards within Student Affairs and SAS.
  • Analyzes and evaluates current business system processes; considers business implications of the application of technology to current and future environment.
  • Independently formulates systems scope and objectives based on user needs and understanding of applicable business processes and functional requirements.
  • Directs system design and implementation to develop and/or modify SAO & SAS business applications.
  • Analyzes long-term IT needs of SAO & SAS business units. Identifies need for and potential of future e-commerce business solutions and applications that offer enhanced services, efficiencies and business growth opportunities.
  • Works closely with Student Affairs leadership to achieve improved cost controls, forecasting, and business efficiencies through optimum system usage.
  • Keeps current on new developments in electronic banking, e-commerce, advanced point of sales, and other applicable technologies.

Basic Qualifications
  • Bachelor’s degree in Computer Science, Information Technology or related field with at least 8-10 years of information systems analysis and support, or equivalent combination of education and experience.
  • Ability to adapt vendor-provided documentation and train users of varying proficiency levels.
  • Willingness and ability to take personal initiative and leverage problem-solving skills to figure out how a software application works and apply it to the business environment.
  • High proficiency in MS Office applications, including Word, PowerPoint, Outlook, and especially Excel.
  • Comfortable taking ownership of large and moderately complex projects with broadly defined objectives.
  • Excellent customer service and communication skills, both written and verbal.

Preferred Qualifications
  • Previous experience with, knowledge, and understanding of relational database applications.
  • Ability to extract, manipulate, manage, and understand very large datasets.
  • Comfort with a wide range of business application types, from point of sale to access control to people management.
  • Working knowledge of Oracle RDBMS, SQL, PL/SQL, or equivalent.
  • Basic programming skills in Java, Python, C#, C++, or equivalent.
  • Ability to interact with all members of the Caltech community while maintaining a high degree of professionalism
  • Excellent technical and quantitative/analytical skills.
