Posting Summary
Rutgers, The State University of New Jersey, is seeking a Business Specialist for the Department of Physics and Astronomy. Reporting to the Business Manager III, the Business Specialist supports the Department of Physics and Astronomy and affiliated centers, primarily NHETC. The Business Specialist supports the research of the Principal Investigators (PIs) by reviewing grant funding solicitations, developing budgets, budget justifications, cost-sharing, and subcontract agreements. 
Among the key duties of this position are the following:
  • Develops budgets and budget projections for Centers managed by the department. Develops and assembles supplementary documentation for the preparation and successful submission of grant proposals. 
  • Works with the Office of Research and Sponsored Programs (ORSP) to review and resolve compliance issues related to university and sponsor requirements. 
  • Creates and maintains a database for CV, pending and current support statements, award information, etc. to administer/assist the submission of approximately 50-75 grant submissions per year. 
  • Independently provides account administration, reconciliation, and reporting for assigned departmental accounts and sponsored program accounts of assigned Principal Investigators (PIs) in the Department of Physics and Astronomy and affiliated centers, primarily NHETC.
  • Analyzes data, tracks expenditures, and prepares reports as needed to related assigned accounts and general financial data for the Supervisor, Chair, Director, and management.
  •  Shares responsibility for Employee Charging Instructions (ECI) and assists in resolving payroll issues. 
  • Provides backup accounting assistance to the other Business Specialists, Dept.’s Clerical Assistants and Shipping Coordinator as well as the daily functions of these positions when they are out of the office.
  •  Prepares related POs, JEs, and other financial tasks as related to assigned accounts. 
  • Assists with special projects as required.

Minimum Education and Experience
  • Bachelor’s degree in business administration, accounting, or finance or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of generally accepted accounting principles and practices.
  • A minimum of two years of experience in an academic/research environment or similar experience.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Excellent communication, interpersonal and organizational skills, and the ability to work effectively with all levels of personnel.
  • Solid working knowledge of Excel.
  • Strong personal computer end-user skills in word processing and spreadsheet applications as well as strong Internet search skills including familiarity with funding agency websites and research funding search engines. 
  • Knowledge of NSF, FastLane, and other electronic submission software used by funding agencies, and website development experience is strongly preferred. 
  • Experience also preferred with Rutgers University system applications such as Cornerstone, HCM, and SciQuest.
Preferred Qualifications
  • Current driver’s license preferred to attend meetings campus-wide.

  • Ability to manage multiple deadline dates simultaneously and unexpected requests. 
  • Must be able to handle interruptions and quickly re-establish focus. 
  • This individual works on broadly defined objectives with minimal oversight.
