Division of Health Care Policy and Research has an opening for a full-time University Staff (unclassified) Business Operations Coordinator position.

Nature of Work

Jobs in this career family provide general business operations of the organization or a combination of operational responsibilities covering multiple career families.  Functions include institutional research, statistical analysis, policy development and review, strategic planning and broad unit business operations such as parking and transportation services, risk management, childcare services, real estate and property management, retail services or job responsibilities that combine fiscal, HR and operational management responsibilities.

Senior Professionals are responsible for exercising discretion, analytical skill, personal accountability and responsibility in a wide range of areas including academic, administrative, managerial and student services functions. Work involves creating, integrating, applying and sharing knowledge directly related to a professional field.  Work is performed fully independently.

Examples of Work Performed:

Finance Related Duties

Grants/Contracts/Agreements

  • Coordinate with Division Administrator regarding all phases of research administration from pre-award through post-award and closeout.
  • Prepare subcontracts and standing purchase orders as needed. Track the subcontract from submission through payment and closeout. Liaise between Subcontractor, PI and Post-Award to proactively identify and resolve issues throughout the process.
  • Monitor sponsored projects accounts. Update and review monthly internal financial reports, creating spending projections for project managers and Division Administrator to assist in budget management and staffing decision-making. Reconcile expenses, researching and resolving any discrepancies.
  • Prepare and submit monthly invoices and/or supporting documentation to sponsors or the Office of Grants and Contracts Billing section in accordance with University and sponsor requirements. Track invoices submitted and payments received.
  • Lead quarterly project closeout meetings with Post Award Accountant in the Office of Grants and Contracts.

Fiscal

  • Facilitate the process of requesting, executing, tracking, verifying services and reconciling Division purchases and procurements.
  • Manage and monitor recurring expenses and services.
  • Ensure timely submission of expense reports; assist faculty and staff with expense reports (Procurement and Travel) as needed.
  • Has authority to determine if requested expenditures are needed and can/cannot be made. Analyze discrepancies in reports and/or purchases and resolve as appropriate.
  • Interpret and follow current University rules and guidelines relating to procurement, travel and expense reimbursements.
  • Maintain current knowledge of financial processes and guidelines; attend trainings as needed or required.

Human Resources Related Duties

Recruiting and Staffing

  • Facilitate employee recruitments; coordinate the hiring process for faculty and staff positions; pre-screen applicants for searches; forward applicants that meet minimum qualifications to Search Committee/Managers; complete required documents to ensure compliance.
  • Coordinate onboarding and credentialing of new faculty and staff as appropriate.

Data Management

  • Process and maintain data in the human resources modules of HCM:
    • Analyzing and recording changes in division records and appointments;
    • Ensuring changes are entered and approved before posted deadlines;
    • Processing monthly payroll FTE and salary changes;
    • Processing funding distribution changes and payroll expense transfers; and
    • Reconciling monthly payroll reports.
  • Coordinate employee terminations, to include HCM entries, calculating and routing leave payouts, and Division checkout processes.

Leave Tracking and Recordkeeping

  • Maintain internal department leave records: entering and tracking monthly leave used by employees, notifying employees of balances monthly, and reconciling internal tracking reports to HCM system reports.
  • Coordinate and track Family Medical Leave Act (FMLA) related documentation and use of leave.

Training and Development

  • Maintain current knowledge of human resources processes and guidelines; attend trainings as needed or required.

Operational Support Related Duties

Administrative

  • Provide administrative support to Division faculty and staff, to include assistance in scheduling, document preparation, meeting preparation, and travel arrangements.
  • Maintain appropriate stock of general office supplies, calendars, and other incidentals.

Recordkeeping and Maintenance

  • Maintain space inventory and submit changes annually via University Web-Space reporting.
  • Maintain and report annually the locations of any capital assets.
  • Oversee and keep current physical and electronic file systems within the Division.

Salary and Benefits:

The salary range (or hiring range ) for this position has been established at $48,137 - $72,205.

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range ) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is not eligible for overtime compensation.

Qualifications

 

Minimum Qualifications  

Applicants must meet minimum qualifications at the time of hire.

  • Education:   A bachelor’s degree in business, business administration, finance, accounting, social sciences, public administration, communications or related field from an accredited institution.
  • Experience:   Two years of experience in business operations to include responsibility in one or more of the following areas: accounting, human resources, research administration, administrative support. Substitution: A combination of education and related business support experience may be substituted for the bachelor’s degree on a year for year basis. 

Preferred Qualifications

  • Experience working with University of Colorado/ School of Medicine administrative systems and procedures (HCM, Peoplesoft, Concur, CU Data, A2E, etc.)
  • Progressively increasing responsibilities in business operations
  • Experience in health care research operations (grants/contracts) including financial management
