Position Overview: 
The Business Services Coordinator is a dual reporting staff member of Wellness & Recreation /Housing & Dining Auxiliary Services and serves in a multifaceted role. This position will support the administrative, procurement functions for the units including processing (HCM) transactions, provide professional support in the areas of human resources, procurement, reporting and the overall management of the administrative office. The position exercises initiative to achieve organizational goals and objectives, maintains confidentiality, and establishes and maintains positive working relationships. This position will oversee the functionality of daily business tasks and requires considerable organization, focus, analytical and technical skills. This position will help create, implement and manage student staff performance and development. The coordinator assists with all HR aspects of student employees, including handling payroll, time keeping, hiring, support and student staff performance. 

The Business Services Coordinator must be able to maintain a working knowledge at all times of all current University policies that are relevant to business services which may include, but not be limited to procurement, human resources, budget, events, and travel.  Duties include purchasing, processing documents, and overall management of office operations and logistics to enable the department staff to complete their tasks in a timely and efficient manner. 

This position will report to the Auxiliary Services Business Manager interacting with students, staff, faculty, and vendors on a regular basis.  

Examples of Work Performed:

  • Perform the recruitment, hiring, offer letters, for student employees.
  • Perform on-boarding for staff and student employees.
  • Process and approve monthly and bi-weekly time collection.
  • Assist in the implementation of procurement procedures, budget reconciliation and monitoring. 
  • Responsible for the creating and processing of new positions and requisitions in HCM for student employees. 
  • Track and maintain appropriate personnel records for students (sick leave, etc) on a regular basis.
  • Determine the correct forms and steps necessary to accurately complete projects.
  • Handle/maintain/develop routine correspondence and materials, sensitive and confidential employee information, and employee personnel files. 
  • Coordinate workflow processes and audits in order to maintain maximum efficiency.
  • Duties for this position include purchasing materials, supplies and equipment, subscriptions, and processes documents in order to establish contracts for vendors for services. 
  • Overall management of office operations and logistics to enable the department staff to complete their tasks in a timely and efficient manner. 
  • Support department in other financial duties including: cash handling, deposits, billing, accounts payable, and account management. 
  • Refer to the Student Handbooks to try and resolve situations that arise, appropriately provide detailed reminders of policies and procedures, and send notifications to supervisors.
  • Provide resources in the residence hall community for student interaction.
  • Assist with special events as needed (campus move in, all staff training, convocation, etc.).
  • This position is a Campus Security Authority (CSA)/Mandatory Reporter.
  • Participate in ongoing training and development.
  • Perform other duties as assigned.

Salary and Benefits:
The hiring range for this position has been established at $44,400 to $50,000.   

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above hiring range represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is not eligible for overtime compensation.

Qualifications

 

Minimum Qualifications:  

  • A bachelor’s degree in business, business administration, finance, accounting, education, public administration, higher education, or a directly related field from an accredited institution. Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis, but not for the specific experience.
  • One (1) year of professional level experience in human resources, payroll, financial operations or business administration.

Preferred Qualifications:

  • Master’s Degree in business, business administration, finance, accounting, education, public administration, higher education or a directly related field from an accredited institution.
  • Experience working with a diverse population of students in a non-profit or educational setting
  • Experience with web-based information systems (i.e. Peoplesoft, Concur, StarRez, Salto).
  • Experience in HR operations, processing or supporting payroll or hiring processes, or direct employee relations. 
  • Experience with fiscal responsibilities.
