Job Summary
Oversee the non-grant account portfolio for the Beckman Institute in collaboration with other members of the Finance Team. This position serves as a subject matter expert on financial management, accounting, reporting, and procurement within the context of UIUC/OBFS policies and procedures. This role requires independent judgment, initiative, and comprehensive knowledge of financial principles and regulations.
Duties & Responsibilities
- Conduct the accounting activities of the Beckman Institute state, ICR, gift and plant funds in accordance with generally accepted accounting principles, and the goals of the Beckman Institute and University of Illinois.
- Oversee the general CFOP management processes, including submitting new fund create requests to UAFR, completing fiscal year-end processes and terminating CFOP segments. Identify funds that are inactive or in overdraft and take the appropriate action to resolve issues. Identify rogue grant accounts and erroneous charges and complete journal vouchers in BANNER to correct them.
- Serve as a point of contact for procurement for Beckman Institute personnel. Meet with end users to determine the best course and method of procurement. Guide end users through the justification and evaluation process and work closely with university purchasing officials to answer questions and gather additional information when requested. Serve as DCM for Beckman.
- Initiate contracts in the Contracts+ system, including Facilities Use Agreements and Technical Testing Agreements, for both small dollar purchases and high dollar, complex purchases.
- Serve as a point of contact to independently resolve various payables issues, including invoices on hold, receiving reports, non-compliant purchases and past due invoices, ensuring compliance with policies and procedures.
- Daily review and approve i-Buy requisitions and Chrome River submissions submitted by Beckman researchers and staff for compliance with University policies and funding availability.
- Assist with the processing of equipment transfers.
- Update internal templates and job aids as they relate to the Beckman Institute processes.
- Participate in continuing professional development (e.g., conferences, seminars, webinars, etc.) to improve knowledge and judgment.
Additional Physical Demands
Work is performed in a shared office space with individualized desk areas.
Most of the duties are completed at a desk working with a computer.
At times, it is necessary to walk to various offices within the building and on campus to gather information before work may be processed.
At times, may carry files or move boxes of files to clean up hard copy inventories.
High-energy, fast-paced working environment where multi-tasking and ability to handle change are key.
Interruptions are frequent.
Minimum Qualifications
- Bachelor's degree in business administration, management, or a field related to the position.
- Two (2) years of professional business, financial, and/or managerial work experience.
(NOTE: A Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.)

Knowledge, Skills and Abilities
- Ability to perform efficiently and effectively and be very detail-oriented in a fast-paced, multi-task situations where deadlines are frequently imposed.
- Knowledge of OBFS policies and procedures relating to travel, purchasing, reimbursements and other applicable functions related to duties as assigned.
- Extensive knowledge of University of Illinois applications (i.e., BANNER, i-Buy, p-card, Chrome River, Data Warehouse).
- Ability to work with database, spreadsheet, word processing and electronic communication programs.
This is a 100% full-time Civil Service 5010 - Business/Administrative Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after the posting period closes. The salary range for this position is $55,000 - $62,000/year. Final salary offered will be determined by a thorough assessment of available market data, internal salary equity, candidate experience and qualifications, collective bargaining agreements, and budget constraints.
