Job Summary

This position will be based on our campus in Cambridge, MA. However, due to the COVID-19 pandemic this position will be remote until further notice.

Alumni Affairs and Development (AA&D) comprises the University Development Office (UDO), Faculty of Arts and Sciences (FAS) Development, AA&D Resources, and the Harvard Alumni Association (HAA). There is a unique relationship between the University and the FAS fundraising operations, resulting from a long history in which University fundraising ultimately grew out of College fundraising.

AA&D Resources
AA&D Resources encompasses teams that support all units across AA&D plus all schools and units across the University. AA&D Resources includes Technology and Support Services, Business Process and Operations, Alumni and Development Services (ADS), Administration and Finance, Events, Communications Creative Services, Research and Prospect Management, Human Resources, and the AA&D Talent Program.

As a member of the Operations team this position will support the infrastructure of Alumni Affairs and Development by providing ongoing user support and training and maintaining current business practices.  This position supports the day-to-day functions of assigned departments and/or units.  The coordinator is responsible for managing selected timelines, preparing Ad Hoc requests, executing staff trainings, and overseeing the collection and input of data. This person is responsible for keeping projects and tasks up to date in Workfront and will assist the Senior Business Process Analyst in prioritizing requests.


Job-Specific Responsibilities

  • Support day-to-day business process functions and respond to staff requests for the assigned departments and/or units.
  • Assist Senior Business Process Analyst with the development, testing, and marketing of reporting applications and other technologies.
  • Serve as ATSS authorized requestor for assigned departments and attend monthly ATSS LPM meetings and complete user audits.
  • Train staff on Advance policies and procedures as well as all reporting applications.
  • In conjunction with the Senior Business Process Analyst, coordinates the fulfillment of ad-hoc data requests from assigned departments and/or units.
  • Assists in the creation, implementation and evaluation of training plans and materials.
  • Prepares and maintains data for use in selected projects.
  • Oversees requests from staff for mass uploading of data (proposals, assignments, mailing lists, tasks, contact reports, etc).
  • Conducts regular data audits of Advance data and communicates best practices to staff as needed.
  • May be responsible for overseeing the work of students and interns employed by the Operations team.
  • Maintain assigned projects and tasks in Workfront.
  • The above covers the most significant responsibilities of the position.  It does not, however, exclude other duties, the inclusion of which would be in conformity with the level of the position.

Basic Qualifications

  • Minimum 2 years of experience in university fundraising, administration or transferable experience.

Additional Qualifications and Skills

  • Bachelor's degree preferred.
  • Knowledge of academic communities and Harvard preferred.
  • Must exhibit great attention to detail and have the ability to produce clear documentation.
  • Must be motivated to learn, flexible to change, and innovative.
  • Excellent public speaking and presentation skills and written communication skills required.
  • Must be creative and proactive yet disciplined, discriminating and able to streamline work volume in order to maintain bottom line efforts in midst of multi-tasking and daily re-prioritizing, with director’s guidance.
  • Must have excellent organizational skills.
  • Proficiency with MS Office required. Experience with SQL, Toad, ADVANCE and Qlikview and other Business Intelligence technologies desirable.
  • Minimal travel required, conferences or peer meetings. Some evening and weekend work required.

Additional Information

This position requires a 3 month orientation and review period.
