Position Description

ADVANCEMENT SOLUTIONS: 
Advancement Solutions sits at the intersection of the rapidly evolving landscapes of business program operations, business intelligence, data science, CRM, technology, and customer service. The team is mission focused, providing the business program operations, data, and technology infrastructure that enables the work of approximately 1100 University-wide Alumni Affairs & Development (AA&D) staff to fundraise over $1 Billion dollars annually and engage hundreds of thousands of alumni, donors, and volunteers.  The team leads efforts to innovate and enhance the work of the organization through business process management, project execution, business intelligence, change management, and technology systems.  The team sustains critical systems, business processes, operations, and customer service for staff, alumni, and donors.   

SUMMARY:
This full-time confidential exempt position within the Operations team is responsible for supporting assigned departments and/or units with their business processes and fulfilling immediate data needs. This person will review current business processes and meet with key stakeholders to gain a complete understanding of current procedures, identify improvements, document those processes, and ensure that there is integration between business and technology. They will structure and conduct user research, develop interface concepts; design and coordinate usability testing; and assist on project scoping and development with staff in relation to user experience projects.
This person will be responsible for triaging questions and data requests to determine how the data will be acquired, tested and presented. This individual must have demonstrated experience in creative problem-solving with a focus on providing a more seamless experience for end users in the service, digital, and physical environments. They will work collaboratively with the Deputy Director and department leaders to understand the user experience needs, provide quality assurance, and to ensure that the design of services and facilities is dedicated to improving the total user experience and ensuring optimal accessibility and efficiency of resources. To facilitate management of workload and prioritization of requests this person is responsible for maintaining accurate and up-to-date projects and tasks in Workfront.

DUTIES AND RESPONSIBILITIES:

  • Assists Deputy Director in supporting assigned departments and/or units with their business process needs.
  • Leverages School/Unit’s use of central services including Information Systems, Email Strategy, Data Governance & Acquisition, Alumni & Development Services and other services as appropriate.
  • Conducts interviews, focus groups, and review web analytics to assist in determining the need for new/enhanced functionality as well as to identify workflow issues and propose solutions.
  • Triages and refines data requests and coordinate with Advancement Solutions as needed.
  • Maintains accurate and up-to date projects, tasks and requests in Workfront to facilitate management of workload, prioritization of requests and reporting to management team.
  • Works closely with business subject matter experts in Alumni Affairs and Development to define requirements, complete testing, and develop user guides, staff trainings and data audit needs. 
  • Manages and develops communication and training plans for staff regarding system policies, procedures and reporting.
  • Assists Deputy Director in developing and implementing new business processes.
  • Works with Deputy Director to finalize and execute project plans.
  • Provides end-user support across all supported products and applications.
  • Represents assigned School/Unit at University-wide functional group meetings as needed.
  • Represents Business Process & Operations at School/Unit department meetings.

Basic Qualifications

  • Minimum of two years’ post-secondary education or relevant work experience

Additional Qualifications and Skills

  • Familiarity with relational databases and SQL as well as standard Microsoft Office tools  
  • Must have an even disposition and be able to deal effectively and politely with all people from all types of backgrounds and experience and in all types of situations.  
  • Must be conscious of data security and risk management. 
  • Demonstrated ability to evaluate problems accurately and display sound judgment.   
  • Ability to work within a team-oriented environment and manage multiple projects simultaneously. Must be collaborative, conscientious, and results-oriented. 

Certificates and Licenses

  • Completion of Harvard IT Academy specified foundational courses (or external equivalent) preferred

This position requires a 3 month orientation and review period.
