Description of Work Unit
Colorado State University (CSU) is a tier one Carnegie Research Institution and a recognized leader in infectious disease research. The Department of Microbiology, Immunology and Pathology (DMIP) is a large academic and research department in the College of Veterinary Medicine and Biomedical Sciences (CVMBS) at CSU. Currently, MIP has 80+ faculty and 500+ total employees. The DMIP financial support team manages $20-$25M in research activity each year plus $9.4M in appropriated funds, as well as cash funded activities. This position will be located in the Microbiology Building on CSU’s main campus.

Position Summary
The primary purpose of this position is to provide customer service and business operations support for the Microbiology Building located on Main Campus, including coordinating deliveries, room scheduling, facilities requests, financial document entry, etc. In addition, this position will oversee hiring for student employees, including background checks, I-9 verification, HR assignment entry, and bi-weekly hourly payroll. Due to the nature of the department’s work, this will be an in-person position located at the Microbiology Building.
Required Job Qualifications
- Bachelor’s degree from an institution of higher education
- Experience with Microsoft Office Suite
- Demonstrated experience with customer service, written and verbal communication skills confirmed by review of application materials

Essential Duties


Job Duty Category Business Operations Support
Duty/Responsibility
Provide Microbiology Building main office customer service and business operations support including front-line customer service to students, visitors, and faculty. Accept deliveries of supplies, equipment, and other packages for 13-15 separate labs at the Microbiology Building location including notification of the appropriate lab personnel and follow-up to ensure that packages are picked up and delivered to the designated lab(s). Process Kuali financial transactions, including internal orders, billings, disbursement vouchers, requisitions, cash deposits, etc. Backup support for PCard (CSU Procurement Card) expense reallocation including assessing whether expenses are allowable and appropriate according to CSU, state and federal financial policies and procedures. As primary Microbiology Building Travel Arranger, coordinate and process travel documents including review of expenses (allowable, allocable, reasonable, and consistent), interpret travel guidelines and enforce travel regulations. Coordinate and manage Teams Voice transition and process for department.

Job Duty Category Manages Position Processes and Payroll for Associates and Students
Duty/Responsibility
Facilitate hiring process of student and non-student hourlies by providing training to supervisors on the Handshake job description posting process and TimeClock Plus approval process. Provide support for non-student hourly hiring in the Talent Management System and advise supervisor of requirements for job descriptions and postings. Coordinate TimeClock Plus training for new and existing hourly employees. Review TimeClock Plus entries including verification of hours and account(s) entered, and correction of errors. Coordinate hourly employee and associate hires including background check requests, paperwork completion, and HR system entry. Monitor work study award hours and non-student hourly 9-month employee limits, advising supervisors of required actions. Troubleshoot issues related to the timeclock entries and account changes.

Job Duty Category Graduate and Academic Program Support
Duty/Responsibility
Act as backup for the Administrative Coordinator for Graduate Programs to support current and prospective graduate students, including facilitating student stipends and tuition payments, tracking and monitoring degree progress, and providing routine academic guidance towards successful degree completion. Act as primary support for classroom draft scheduling. Assist with academic support such as coordination of applications and admissions processes.  Assist with recruitment processes including travel planning.

Job Duty Category Microbiology Facility Coordination and Building Proctor
Duty/Responsibility
As primary building proctor and key manager, respond to facilities needs by coordinating with CSU Facilities and external vendors to repair and replace capital assets, identify areas of concern, equipment moves, office space assignments, and storage needs. Perform proactive building walk-throughs to identify areas of concern and take appropriate measures to mitigate risks in the physical environment. Maintain up-to-date phone tree and the Emergency Response Plans for the Microbiology Building. Assist in development of facilities and safety trainings for Microbiology Building administrative and lab staffs.
