Reporting to the Managing Director of the Commonwealth Cyber Initiative, the Business Operations Specialist will support the financial, procurement, travel, and administrative functions of the organization.

The Business Operations Specialist assists with the administration of CCI’s base budget and management of the day-to-day operations, adjustments, and accounting of the budget. Assists the Managing Director with fiscal analysis of a varied nature by gathering data from a variety of sources, verifying facts and expenditures, and assists with the presentation of alternatives and recommendations for budget planning and execution. Serves as the primary advisor and assistant to the Managing Director in development and finalization of the annual budget request, spend plan, quarterly and annual reporting for the CCI Hub and the four Regional Nodes. Monitors and reviews the CCI Hub budget by developing and maintaining reports for tracking and projecting the status of financial resources. Responsible for the yearend close process for the CCI Hub. Assists the Managing Director with collecting data and preparing management responses to audits. Assists with the oversight of the management, use, and reporting of CCI’s foundation funds. Collaborates with appropriate departments and agencies on facilities and administrative (F&A) costs, proposal cost-share, startup and shared use equipment funding.

The Business Operations Specialist is responsible for providing coordination and assistance on all travel activities for the CCI Hub. Tracks and reconciles all internally and externally funded travel to assure no inappropriate reimbursements are granted. Performs purchasing activities as assigned using university purchasing system or purchasing card as appropriate. Performs credit card purchases and monthly reconciliation of P-card transactions. Processes requisitions and other purchases. Responsible for procurement duties in HokieMart. Assures all purchasing and travel transactions are properly prepared and processed according to federal, state, university and departmental laws, regulations and guidelines.

The BOS ensures that internal and external agencies and personnel are receiving consistent, timely and accurate information and as required, customer-oriented services. Performs other administrative duties as assigned.

This position is located in the Virginia Tech Research Center in Arlington, VA.
