Salary Range

$47,000 - $62,400 per year; DOE


Essential Duties

  • Manage graduate student hires; entering payroll transactions in PeopleSoft for new and existing teaching/research assistants/associates, which includes creating offer letters, position management, submitting personnel transaction requests, terminations, entering tuition waivers and scholarships, in accordance with established ASU payroll policy and procedure.
  • Processing student hourly hires via the Kenexa/BrassRing system, create position recruitment, prepare and post online hourly jobs, prepare offer letters, approve timesheets,  onboarding, maintain payroll files in accordance with ASU policy.
  • Manages Academic Professional, Post-Doctoral, and non-tenured faculty hires and renewals.
  • Coordinates all Post-Doc, Academic Professional and Non-Tenure faculty visa application and renewal processes.
  • Responsible for initiating and verification of payroll transactions using PeopleSoft; completes payroll reconciliations.
  • Processes financial documents such as travel authorizations and travel expense reports; business related reimbursements, purchases, payments, using the University’s various financial systems (Concur, Workday, SunRISE) and the Purchasing Card (PCard in accordance with established procurement and financial policies).
  • Performing PCard monthly reconciliations, verification in Workday, and maintaining financial records and establishes internal controls.
  • Remains current regarding all university policies, practices and regulations affecting the business and human resources and works closely with unit personnel to ensure compliance.
  • Organizes and/or prepares departmental administrative and financial reports; analyzes, summarizes and interprets information; recommends or implements action to be taken.
  • Performs other duties as assigned to ensure the continuity of department operations and to meet customer service needs.

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND five (5) years of related experience; OR, Nine (9) years of related experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

  • Experience with, or knowledge of, ASU financial and payroll systems (WorkDay Procurement, PeopleSoft, Kenexa/BrassRing, and Microsoft Applications.
  • Experience using ASU financial reporting systems (Workday, PeopleSoft, Analytics) to prepare detailed financial and human relations/payroll reconciliations, expense tracking reports, and other various financial or HR reports for a variety of constituencies.
  • Experience in utilizing procurement processes within Workday, including processing Requisitions, Purchase Orders, Journal Entries, and Expense Reports, as well as Supplier Invoices and Reimbursements.
  • Experience processing Procurement Card purchases, allocating in PaymnetNet, and following ASU procurement policy.
  • Demonstrated knowledge of ASU’s Concur system; processing travel authorizations and reimbursements.
  • Experience in processing DS-2019 and H1B visas in higher education.
  • Experience with research staff and year-to-year offer letters. Demonstrated knowledge of ACD and ABOR policy.
  • Experience providing HR, financial and operational support in a higher education environment.
  • Demonstrated knowledge of ASU policies and procedures related to human resources, hiring, payroll, financial transactions and budgeting.
  • Experience with ASU systems, including PeopleSoft, Kenexa BrassRing, Concur, Docuware, Docusign and Microsoft Office.

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse (75%); frequently required to stand for varying lengths of time and walk moderate distances to perform work (25).
  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.
  • Ability to clearly communicate to perform essential functions.
  • Calculator, telephone, computer (monitor, keyboard and mouse), printer, fax and copier. This position receives general review of objectives.
