Business Operations Specialist


Job Description

The W. P. Carey School of Business, Department of Management and Entrepreneurship is searching for a Business Operations Specialist. This position will assist with planning, organizing and coordinating the business operations functions in accordance with established goals, priorities, time limitations, funding limitations or other specifications. These functions include basic budgeting, accounting, payroll, staffing, academic services, and other functions designated by unit administrator.

Salary Range

$42,000 - $58,000; to commensurate with education and experience


Essential Duties

  • Prepares budget proposals and recommendations and establishes budget control system for controlling expenditures; controls expenditures in accordance with budget allocations
  • Monitors a variety of account expenditures, maintains and reconciles detailed budgets for various accounts including sponsored research grants, advises and/or determines which expenditures are within the budget guidelines; informs management of irregularities and proceeds with corrective action
  • Processes travel reimbursements, purchase of supplies, services, and equipment with use of P Card and other purchasing documents in accordance with established procurement and financial policies
  • Coordinates and manages the recruitment efforts for personnel within the department including the hiring of faculty, staff and student workers
  • Maintains personnel files consistent with University policies and practices
  • Organizes and/or prepares departmental financial reports; analyzes, summarizes and interprets information; recommends action to be taken. Responds to audit requests and gathers documentation for payroll, pcards, and financial records
  • Performs payroll and pcard reconciliations
  • Coordinates events, meetings and conferences as needed including logistics, scheduling and participant communications; makes necessary travel reservations and itineraries; determines and prepares background materials needed
  • Acts as backup to Department Time Administrator to ensure accurate and timely recording of work hours for staff and student workers
  • Reviews requests and authorizes supplies, services, and equipment purchases using department and grant funding
  • Represents the college/department and serves on various department and university committees
  • Interacts and maintains liaison with students, faculty, staff and outside/community agencies in facilitating program objectives

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND three (3) years of related experience; OR, Seven (7) years of related experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

  • Experience providing HR, financial, and operational support in higher education
  • Experience in payroll, processing new employee hires, recruitment and HR hiring principles
  • Experience working effectively in an environment subject to tight deadlines and quick changing priorities
  • Demonstrate knowledge of ASU policies and procedures
  • Demonstrated knowledge of financial administration principles, financial analysis, budget preparation and forecasting
  • Experience in accounting and account reconciliation, including sponsored, non-sponsored and foundation accounts
  • Experience in using Concur, SunRISE, PeopleSoft, Kenexa BrassRing, and Workday
  • Experience with Microsoft Office, Excel, Outlook, PowerPoint
  • Experience in developing and maintaining effective working relationships
  • Effective communication skills

Working Environment

Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse (75%); frequently required to stand for varying lengths of time and walk moderate distances to perform work (25%). Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts. Ability to clearly communicate to perform essential functions. Calculator, telephone, computer (monitor, keyboard and mouse), printer, fax and copier. This position receives general review of objectives.
