Business Operations Specialist


Job Description

A Business Operations Specialist is needed to assist with business operations functions in the Office of General Counsel, but also as needed in Executive Administration. This position is intended to cover a broad range of responsibilities primarily assisting with reviewing, tracking, monitoring, troubleshooting, paying, and reconciling invoices for legal services.  The Business Operations Specialist ideally will have experience in a variety of business operations functions including finance, HR and travel.

Essential Duties

  • Reviews, monitors, troubleshoots, pays and reconciles invoices for legal services; carefully tracking to ensure payments are made from appropriate cost centers and accounting adjustments are completed as needed. 
  • Monitors a variety of account expenditures, maintains and reconciles detailed budgets for various accounts, advises and/or determines which expenditures are within the budget guidelines; informs management of irregularities and proceeds with corrective action.
  • Processes travel reimbursements, purchase of supplies, services, and equipment with use of P Card and/or Workday purchasing procedures in accordance with established procurement and financial policies.
  • Assists with coordination and processing of personnel searches and hiring within the University’s hiring system, Kenexa BrassRing, and maintains personnel files consistent with University policies and practices.
  • Organizes and/or prepares departmental administrative and financial reports; analyzes, summarizes and interprets information; recommends action to be taken.
  • Responds to audit requests and gathers documentation for payroll, Pcards, and financial records.
  • Performs payroll and pcard reconciliations.
  • Performs all activities associated with Department Time Administrator to ensure accurate and timely recording of exception and positive time reporting.

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND three (3) years of related experience; OR, Seven (7) years of related experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

  • Experience with Brassring
  • Experience working in ASU’s Workday financial system
  • Experience with ASU’s Concur travel system
  • Experience with Excel skills
  • Experience in managing competing priorities
  • Experience in performing detailed and complex numerical computations and reports, including analysis and evaluation of budgets, planning and other management information systems.
  • Evidence of effective communication skills
  • Experience in working autonomously and within a team
  • Experience in coordinating activities and establishing priorities.
  • Experience in establishing and maintaining effective working relationships.

Working Environment

Work is performed in a standard office environment subject to prolonged periods of sitting and operation of computer equipment requiring keyboarding.
