The Luminosity Lab in the Ira A. Fulton Schools of Engineering at Arizona State University is seeking a Business Operations Specialist to perform complex administrative functions:  planning, organizing and carrying out duties in accordance with established goals, priorities, time and funding limitations.  These functions include: event planning (e.g., meetings and webinars), document preparation, webpage maintenance, purchasing, account management, and various administrative services that require initiative and judgment as well as the ability to work independently under general direction.

Essential Duties

  • Processes travel authorizations and expense reports, purchases supplies and services, and equipment with use of P-Card or other purchasing options in accordance with established procurement and financial policies
  • Manages purchasing card, including reconciling multiple cards for the unit
  • Assists with account management and reconciliation
  • Develops and facilitates events; coordinates logistics, scheduling, and participant communications; development of brochures or other unique projects
  • Responsible for scheduling and coordinating meetings, and appointments; makes necessary travel reservations and itineraries; determines and prepares background materials needed
  • Approves hourly time utilizing the TAS and DTA systems
  • Transact hiring utilizing the BrassRing system
  • Maintains electronic HR files in compliance with audit standards
  • Conducts payroll reconciliations, redistributions, and annual data verifications utilizing multiple data and reporting systems
  • May supervise student workers     
  • Participates in special projects as directed
  • Interacts and maintains liaison with students, faculty, staff and outside/community agencies in facilitating program objectives

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND three (3) years of related experience; OR, Seven (7) years of related experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

  • Experience in business operations or financial services within a higher education environment
  • Experience working effectively in a fast-paces dynamic environment subject to quickly changing priorities and potentially conflicting deadlines, both independently and as a member of a team
  • Experience in maintaining financial records and processing orders for supplies, services, and equipment
  • Experience with travel policies and procedures and working with an online travel request system (ASU Experience preferred)
  • Evidence of effective communication skills in public and interpersonal settings and a high level of customer service
  • Experience in preparing detailed reports
  • Demonstrated knowledge of procedures, methods and forms associated with automated purchasing and accounting systems
  • Experience in use of ASU university systems: Workday, Concur, Sunrise, Data Warehouse

Working Environment

Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse (75%); frequently required to stand for varying lengths of time and walk moderate distances to perform work (25). Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts. Ability to clearly communicate to perform essential functions. Calculator, telephone, computer (monitor, keyboard and mouse), printer, fax and copier. This position receives regular review of objectives.
