Job Description

The New College of Interdisciplinary Arts and Sciences, Office of the Dean and Vice Provost seeks a Business Operations Specialist - Accounting (BOS) to join and support the Fiscal and Business Services Team. The college is located on ASU’s west campus in Glendale, Arizona.   

Under the supervision of the Business Operations Manager, the BOS will facilitate all purchasing and procurement for the Office of the Dean.  This process includes creating requisitions, working with suppliers/vendors, and tracking purchase orders.  The purchasing and procurement process requires regular communication with university buyers and suppliers/vendors to ensure purchases are completed in a timely manner within the procurement guidelines. This process requires effective verbal and written communication skills.  

In addition, the BOS will process and maintain Purchasing Card (P-Card) transactions and documentation.  The position will also process other financial transactions, monitor and maintain accounts, prepare accounting reports, review monthly financial reports, reconcile accounts and prepares spreadsheets using MS Excel.

Essential Duties

Purchasing and Procurement: 

  • Facilitate the buying of goods and services from the initial order through delivery of goods and services to end user, in keeping with university policies and procedures for purchasing and procurement. 
  • Creating requisitions, ensuring suppliers/vendors are registered. 
  • Monitor purchase orders and invoices. 
  • Requires effective verbal and written communication skills.  

Purchasing Card (P-Card):
  • Processes and monitors P-Card transactions. 
  • Reconciles and maintains supporting documentation and applies costs to the appropriate accounts. 
  • Facilitates the review of all departmental P-Cards by confirming all statements and transactions are accounted for on a monthly basis, and assists with audits.     

Financial Transactions, Reconciling, Reporting, and Other:
  • Monitors, maintains and reconciles a variety of accounts. 
  • Provides detailed expense reports to departments. 
  • Processes various transactions in the Workday financial management system. 
  • Performs routine financial-related functions including accounting journal entries. 
  • Creates special reports using on-line tools such as Analytics, Workday and MS Excel. 
  • Provides assistance with the management of the scholarship program and special projects.  
  • Other duties as assigned. 

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND three (3) years of related experience; OR, Seven (7) years of related experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

  • Experience in purchasing and procurement.
  • Experience in P-Card maintenance.
  • Experience in reconciling accounts.

  • Experience in accounts payable.
  • Experience in MS Excel.
  • Experience exercising judgment, making decisions, setting priorities, interpreting policies and procedures, working independently and communicating effectively.
  • Experience in working in an environment subject to tight deadlines, potentially quickly changing and conflicting priorities.

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work.
  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds.
  • Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts.
  • Ability to clearly communicate to perform essential functions.
  • Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.
