Summary of Job Duties:

The Business Manager (BM) works closely with the Director to maintain a welcoming campus-based medical clinic. In addition, the BM assures that medical services are following college health standards of care and that the legislative requirements of the clinic are met in a timely manner. Another important aspect of the BM position is close scrutiny of the clinic billing process to safeguard accuracy and maintain an adequate level of funding. This position also supervises non-clinical staff and helps ensure a customer service focus while providing adequate coverage. In addition, this position makes certain the clinic is well stocked with the materials, supplies, and services required to provide excellent patient care. This position is governed by state and federal laws as well as agency and institution policy.

Qualifications:

Required Education and/or Experience

  • Bachelor’s degree preferably in business, information technology or communications;

  • Expertise with databases and Microsoft Office;

  • Demonstrated experience with administrative office management and procurement;

  • Minimum 2 years administrative/accounting/billing office experience.

Preferred Education and/or Experience

  • Administrative experience in a medical clinic;

  • Experience supervising administrative/receptionist staff;

  • Expertise in using BANNER database;

  • Experience in using Workday software.

Job Duties and Responsibilities

Daily Operations & Supervision

  • Assume administrative and management functions of Health Services in the absence of the director;

  • Supervise non-clinical staff;

  • As needed, fill in for front line administrative staff;

  • Ensure clinician credentials are up to date;

  • Ensure clinicians’ quality reviews are performed quarterly;

  • Ensure clinicians' quality review plans are updated and signed annually;

  • Order immunizations through UAMS outpatient pharmacy;

  • Assist with coordination of outsourced lab services;

  • Other duties as assigned.


Purchasing, Budget & Billing Management
  • Manage all financial transactions of the department including purchasing and budget oversight;

  • Serve as the liaison between Health Services and Complete Provider Resource (insurance billing provider), manually bill claims as needed, verify insurance benefits on all patients requesting the Nexplanon birth control implant, and coordinate with Radiology Associates as needed.

  • Provide oversight and assistance with HR and financial responsibilities for all units within Wellness and Inclusion.

  • Utilize CTS card to manage travel arrangements for Wellness and Inclusion staff.


Compliance Duties
  • As HIPAA Compliance Officer, write HIPAA policies for the clinic and distribute to all staff, ensure HIPAA compliance within the clinic, keep current on HIPAA updates, and provide annual HIPAA training to all staff members;

  • Assist with reviewing students’ immunization records to ensure they meet the University’s requirements;


Electronic Medical Record Administrator
  • As Medicat Administrator, set up new users, run reports from Medicat, make needed changes within the EMR system, and work with Medicat support when installing new programs.


Quality Assurance & Clinic Improvement

  • Produce and administer Patient Satisfaction Surveys;

  • Assist with departmental annual report and assessments;

  • Prepare monthly patient statistics for clinic use and reports.


Campus Communications
  • Distribute Student Health 101;

  • Prepare and distribute campus-wide the Health Services’ Emergency Procedures.


Knowledge, Skills, and Abilities

  • Proficient in the English Language;

  • Exceptional customer service/interpersonal communication skills;

  • Excellent time-management skills;

  • Ability to multi-task;

  • Knowledge of current HIPAA rules and regulations including patient confidentiality;

  • Ability to work with confidential information;

  • Proficient in use of computers, including use of Microsoft Office applications.
