Overview

The department of Geosciences seeks an experienced professional to serve as the Business Manager, who will have primary responsibility for managing the finances of the department. Located in Guyot Hall, Geosciences is at the forefront of scientific discovery in the solid earth, the environmental geosciences and oceanography/climate science by combining computational methods, field work, and laboratory analysis.

The Business Manager will function independently and must be a creative and resourceful problem solver across multiple domains. They will be an integral member of the departmentâ™s administrative leadership team, and will be deeply involved in financial strategic planning and implementation, working with the department chair and department manager. The Business Manager is expected to have extensive experience with sponsored research and must be proficient with both pre-award and post-award aspects of sponsored research management.


Responsibilities

Financial Planning and Operations

  • Manage the department budget to ensure alignment with the departmentâ™s strategic priorities.
  • Analyze financial reports and create projections for the departmental budget
  • Manage departmental financial commitments to faculty members, including startup funding, research support, lab renovations, equipment purchases, and cost share commitments for externally-sponsored awards.
  • Develop, implement and monitor the departmentâ™s financial policies and standard operating procedures to improve workflow and ensure financial compliance with all relevant policies.
  • Approve purchase orders, invoices, expense reimbursements, and labor accounting entries in accordance with University, donor, and sponsor guidelines and restrictions.
  • Review spending monthly to track expenditures and to ensure compliance. Process journal entries and make entries in the Labor Accounting system to resolve any issues.
  • Oversee the management of graduate support allocations

Faculty Projections and Grants Management

  • Maintain and update financial projections for each faculty member, incorporating sponsored awards, internal awards, non-sponsored funds and startup funds.
  • Coordinate labor allocations and financial planning activities with other academic units who have GEO faculty sponsored awards, or which have awarded internal funds to GEO faculty members.
  • Advise all faculty on a monthly basis of charges, providing account balances, pending deadlines, and other critical information. Resolve issues as needed.

Staff Management and Departmental Operations

  • Manage four administrative staff members: the assistant finance manager, two administrative assistants and the natural history collections manager.
  • Serve as the backup for the department manager as needed in staff administrative matters, financial issues, and facility problems.
  • Manage and approve entries in the Time & Absence Management system for biweekly staff and casual hourly employees.

Department Inventories and Special Projects

  • Oversee the management of databases with inventories of the departmentâ™s natural history collections and scientific equipment. Ensures that the database is accurate by properly recording all acquisitions and deaccessions.
  • Prepare reports as needed for departmental academic reviews, advisory council meetings, space surveys, export control compliance reviews, internal audits, and assisting with the departmental Continuity of Operations Plan, among others.

Qualifications

Essential

  • Bachelors degree plus 5 to 7 years of relevant experience
  • Strong financial acumen in managing and analyzing budgets and developing reports for different audiences/constituents.
  • Knowledge of generally accepted financial accounting principles and mechanisms
  • Proficiency with financial management and software systems
  • Proficiency with Microsoft Office products, particularly Excel
  • Experience managing and administering sponsored research in a higher education environment.
  • Familiarity with principles of accounting, Federal Uniform Guidance, and related sponsored research statutes.
  • Excellent analytical, organizational, and interpersonal communication skills
  • Excellent data gathering and analysis skills, ability to creatively solve problems and formulate/implement process improvements.
  • Ability to take initiative, identify solutions, make recommendations, implement sound decisions

Preferred

  • Experience with University Systems and Software including PeopleSoft, Prime Financials, Princeton ERA, Labor Accounting, and the Information Warehouse.
  • Familiarity with Princeton's administrative procedures and policies.
