About the Department
 

The Division of Social Sciences Local Business Center is responsible for delivering procurement services, grant administration services, budgeting account administration services, and payroll services to all faculty and staff within the Division. The staff in the Local Business Center work closely with faculty and staff to ensure all are well informed of the status of all accounts. The Local Business Center is the first point of contact for financial processing for all constituents of the Division.


Job Summary
 

The job coordinates projects in monitoring the operating and capital budgets for divisions and/or University-wide administrative units. At the instruction of others, performs work that contributes to development of long and short term financial goals, business strategies/plans, and financial forecasts/models for major service programs and initiatives. Utilizes moderate knowledge of finance to help coordinate quarterly and year-end reporting for the operating budget.
Reporting to the Local Business Center Manager, the incumbent provides comprehensive business service to assigned faculty. Provides direct service in account administration. Provides or coordinates service in payroll, procurement, and pre- and post-award grant administration. Deals directly with faculty, staff, and students in an intensive customer service environment. Takes a leading role in serving new faculty appointees. Coordinates service activities with Local Business Center, departmental, divisional, and central office administrators. Works closely with the Manager and others in training and organizational redesign efforts.

Responsibilities

  • Serves as primary account administrator for a defined group of faculty or other account owners. Duties include budgeting; monitoring and controlling expenses; account maintenance and error correction; financial accounting, reporting, and projecting; and account closing.
  • Payroll, human resource, and academic affairs administration.
  • Works with the LBC Payroll Specialist and others to pay all employees and to coordinate student and staff human resource and academic affairs administration.
  • Works with IBC Operations Assistants, the LBC Procurement Specialist, and others to fulfill all aspects of the procurement process including purchasing, internal requisition, and personal and reimbursement. Allocates and authorizes expenditures.
  • Works with departmental, divisional, and central administrators to manage financial and administrative aspects of sponsored project proposal preparation and submission.
  • For awarded proposals, fulfills account administration duties described above.
  • Prepares budget revisions, financial reporting, and other communications with funding agencies and subcontractors as required.
  • Prepares monthly reports, conducts and correct errors in accounts using existing procedures that are in place, and provides advice on the financial impact of human resources and academic affairs decisions.
  • May work with other administrators on the procurement process, allocates expenditures for authorization, and advises in communications regarding funding agencies, subcontractors, and others at the instruction and direction of others.
  • Performs other related work as needed.


Minimum Qualifications
 

Education:

Minimum requirements include a college or university degree in related field.

Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline.

Preferred Qualifications

Education:  

  • Bachelor's Degree. Three years of experience in administration, financial services, or customer service.

Experience:

  • Knowledge of federal and University regulations for grant management preferred. Knowledge of the University's Financial Accounting System, Accounts Payable System, ACCTS, and Business Objects.
  • Windows computing experience.

Preferred Competencies

  • LBC employees develop productive working relationships with faculty, academic non-faculty, program staff, students, departmental and central office administrators and external funders or suppliers.
  • LBC professional staff members work to review and revise work processes at the task, individual, and group levels and to modify existing or develop new work process tools. This may include documenting work processes, developing training materials, and training others in existing or new procedures.
  • LBC professional staff members work with the Manager to plan their own short- and long-term developmental courses. A training commitment of 20 hours per year is common.
  • LBC employees maintain all business and financial information in complete confidence.
