Position Summary:
Performs a full range of office and administrative tasks for Catering. Responsible for assisting the catering managers, Assistant Director, Chefs, and Associate Director. Oversees day to day operations of the Catering office – answering phones, handling requests, invoice processing, and clerical duties. Assists in the process of inter/intra office billing and correspondence. Processes departmental invoices through EventMaster and MyNova. Responsible for booking events, ordering linens, flowers, and other supplies as needed. Works events as scheduled. This person will work with management, co-workers, customers, and staff to instill and foster the value of the Villanova Statement and the Dining Services Mission statements. Duties and Responsibilities:
1. Assists Catering and Sales event manager with event scheduling. Responsible for booking events (via phone/email/online ordering) with customers and entering information into EventMaster. Coordinates with Chefs on allergen signs when necessary.
2. Assists Catering and Production event manager with vendors and internal coordinators (décor/flowers/rentals) to orders linens, flowers, and other rental equipment/supplies for event. Checks in rentals when needed.
3. Assists in executing small and major Catering/Dining Services events. Makes deliveries as needed. Supervises bar set-ups, event execution, bar staffing, and bar break-down. Updates bar costs sheets, determines consumption amounts, and transfers costs to EventMaster. Ensures contracts are accurate for in-house and customer use.
4. Based on customer requests, responsible for updating of EventMaster.
Communicates event updates and changes via email to the Catering team.
5. Assists the Catering Production and Events manager as needed with receiving invoices. Performs receiving function in our menu management system, CBORD. Reviews open PO in CBORD and compares to the monthly statements. Responsible for accurate and timely processing of invoices with a high level of customer service to both internal and external customers. Reconciles PO’s in Concur for rental and flower vendors. Orders office supplies for the office. Takes care of equipment such as the copier/printer.
6. Responsible for monthly EventMaster to Banner invoicing process. Completes monthly departmental customer invoice reconciliation. Responsible for the monthly comparison between systems for accurate reporting to the Director of Finance. Responsible for the year end reconciliation and reports.
Minimum Qualifications:
High school diploma or equivalent required.
Three year general office work experience and/or experience in catering.
Banner, CS Gold, EventMaster knowledge preferred.
Preferred Qualifications:
Previous Catering experience, EventMaster knowledge, ServeSafe Certified
