Job Summary
Responsibilities
Performs high-level administrative duties in support of Section functions. Stays informed of activities relating to programs and initiatives, apprising the faculty of issues when deemed necessary. Coordinates information flow from the faculty’s office.
Independently coordinate the administrative needs of the Section and Faculty. Provide high-quality administrative support for the Chief and other faculty’s involvement with professional organizations and other administrative duties. Perform conflict resolution when necessary.
Resolves many office problems independently and facilitates solutions, conferring with supervisor to resolve the most complex issues.
Maintains and updates Web content, including social media.
Oversees and maintains the physical office space, ordering equipment repairs and upgrades.
Manages special projects, functions, and events related to the Section.
Works with faculty prior to the course to prepare course materials, coordinates all event-planning details for the courses, works with legal on required contracts, and invoices companies after the courses are completed.
Manages monthly on-call schedule, including facilitating coverage changes as necessary.
Manages weekly continuing medical education (CME) courses, including the completion of CME applications and coordinating all event-planning details with independent decision-making and oversight.
Researches complex scientific information (i.e. Scholarly publications), submits budget applications and creates learning objectives to include in the CME applications.
Coordinates office functions, including developing and implementing office procedures and policies.
Serves as a resource to faculty and colleagues in interpreting Department, University, and Hospital policies and guidelines.
Assists in other personnel matters, including the faculty and staff recruitment and onboarding process.
Manages expense reimbursements according to established Section budget.
Prepares and submits correspondence with accreditation agencies.
May initiate correspondence and other written materials under own signature or for signature of the leader. Triages emails and telephone calls for action. Resolves a combination of some routine and complex inquiries.
Coordinates special projects as directed by the leader. Prepares write ups for recommendations for operational and administrative problems. Manages a portion of the leader's budget, monitoring and reconciling accounts. Prepares financial and/or administrative reports.
Performs other related work as needed.
Minimum Qualifications
Education:
Minimum requirements include vocational training, apprenticeships or the equivalent experience in related field (not typically required to have a four-year degree).---

Bachelor's Degree.
Experience:
Experience in a healthcare or academic medical environment, including knowledge in areas of patient advocacy, medical terminology, access, and billing/collections.
