The Business Coordinator I, under general supervision, provides support and coordination for a variety of business activities requiring independent judgment.  These include, preparing travel requests and reconciling travel and procurement card expense reports and processing other purchasing and financial transactions necessary to support Conrad Blucher Institute (CBI) business operations. 


POSITION DESCRIPTION 


Functional Area 1: Administrative 


Percent Effort: 85% 


Job Duties 


  • Coordinates and prepares documentation associated with travel arrangements for CBI Research Operations activities, conferences, continuing/distance education. 

  • Creates and reconciles travel expense reports, in Concur, in accordance with federal, State of Texas, university and sponsor requirements. 

  • Monitors and reconciles procurement card transactions to ensure charges are documented and posted to the correct accounts. 

  • Prepares monthly procurement card reports that include all backup documentation in accordance with university and sponsored project requirements and in keeping with university timelines. 

  • Enters purchasing requisitions into Islander BuyMonitors incoming shipments for accuracy and completes receiving so that vendor payments can be issued. 

  • Works with Buyers and/or Accounts Payable on any issues that may arise with purchase orders or other payments.  

  • Conducts annual physical inventoryMaintains internal inventory records including a subset of export-controlled itemsEnsures that asset custodial and location information is updated throughout the year. 

  • Assists with transition of assets to Surplus and other TAMU-CC departments when necessary. 


  • Assists in organizing conferences, workshops, presentations, seminars, institute meetings and other events or functions hosted by CBI.  Performs coordination activities including but not limited to logistics, catering, preparation of agenda and meeting minutes. 

  • Attends training sessions as needed. 

  • Other job duties as assigned. 


Functional Area 2: Training and Compliance 


Percent Effort: 15% 


Job Duties 


  • Communicates travel and other policies to CBI personnel to ensure compliance with federal, State of Texas, university, and sponsor requirements. 

  • Responsible for administering training on the Concur system as well as training on university travel policies and procedures as needed to CBI personnel.  

  • Keeps current on all travel guidelines and implements any needed changes to Standard Operating Procedures (SOPs). 

  • Keeps current with all procurement guidelines and implements any needed changes to Standard Operating Procedures (SOPs). 

  • Maintains guidance information and documents on CBI’s Intranet. 

  • Trains student workers and works closely with them to ensure that revolving deadlines are met.  



QUALIFICATIONS 


  • Bachelor’s degree. 

  • Two years related work experience. 

  • Additional education/experience may be used as a substitute for the minimum requirements.

  • Ability to multitask and work cooperatively with others.  

  • Excellent oral and written communication skills. 

  • Detailed and deadline oriented. 

  • Intermediate knowledge of Microsoft 365. 


PREFERRED QUALIFICATIONS 


  • Research administration experience. 

  • Previous experience working in the Texas A&M University System.

SALARY

  • $3,333.34- $3,867.42 monthly (Approx. $40,000-$46,409 annually)
