Job Description

The Business Coordinator III, under general supervision, provides staff support and coordination of a variety of business activities requiring independent judgment, including reviewing business documents and assisting in developing, monitoring, and reporting accounts and budget data with limited supervision. Works closely with the Associate Director of Business Operations and Strategic Initiatives in all business matters. 

Responsibilities:

  • Serves as an approver and back up signer of vouchers and requisitions. Reviews and audits reconciliations of all accounts. Develops, monitors, and reports budget activity. Prepares complex monthly and annual financial reports.
  • Coordinates annual fiscal year closing activities and drafts new fiscal year plans. Coordinates fiscal activities with little direct supervision. Proposes solutions to complex financial problems.
  • Audits and approves cash handling activities and oversees unit purchasing activities.
  • Serve as liaison with payroll and/or human resources. Develops, implements and audits business procedures upon approval and advises upper administration. Manages maintenance of all business files.
  • Manages personnel activities, coordinates and audits personnel files, and reviews and approves leave requests.
  • Assist and processes I-9s for onboarding employees.
  • Work in coordination with the Associate Director of Business Operations and Strategic Initiatives to oversee the administration of contracts and grants.
  • Helps manage cost share for multiple research projects
  • Ensures key personnel commitments on all projects have been met and all spending is within the guidelines of the project.
  • Monitor expenditures and make projections; assign costs to appropriate accounts/projects; oversee account reconciliations, processes corrections; Oversee and allocate charges on the department payment cards and travel cards.
  • Monitors agreements with partner institutions and other third parties
  • Develops complex financial and statistical analyses and summary reports. Composes standard and ad hoc reports and business-related correspondence.
  • Assist and train staff on travel processes and procedures. Develops and reviews unit business travel.
  • Monitors Time and Effort reporting for personnel to ensure compliance with System regulations.
  • Trains staff on new and existing business procedures and interprets policies and regulations for staff.
  • Manages inventory process. Serves as records management coordinator.
  • May supervise business staff and/or student workers and may provide supervision.
  • Other duties as assigned.

Required Education:

  • Bachelor’s degree or equivalent combination of education and experience.

Required Experience:

  • Four years of related experience.
