This Business Coordinator II, will provide staff support and coordination of a variety of business activities requiring independent judgement, including reviewing business documents for the unit head and assisting in developing, monitoring and reporting accounts, and unit budget data as directed by supervisor. Required Education and Experience:

  • Bachelor’s degree or equivalent combination of education and experience.

  • Three years of related experience in general office, accounting or personnel operations.

Required Knowledge, Skills, and Abilities:

  • Working knowledge of spreadsheet, presentation, and word processing software programs.  

  • Excellent interpersonal and communication skills and ability to plan and organize effectively.  

  • Ability to work with diverse groups of people and be helpful, respectful, approachable, and team oriented.

  • Ability to multi-task and work cooperatively with others.

Preferred Education and Experience:

  • Bachelor’s degree in accounting, business administration or closely related field.

  • Experience in managing business operations or supervisory experience.

  • Experience working within university disbursement guidelines.

  • Experience with Excel, FAMIS/Canopy, AggieBuy, Concur, iPayments, Workday, and SSO.

Preferred Knowledge, Skills, and Abilities:

  • Knowledge of working within university disbursement guidelines.

Responsibilities:

  • Business Operations: Analyzes financial data and compiles financial reports for multiple accounts. Utilizes Canopy for on-line accounting and Quicken for reconciliation of department accounts to FAMIS financial statements on a monthly basis. Audits fiscal documents reviewing for compliance and proposes solutions to routine financial problems. Processes departmental budget requests and correction requests as needed. Assists with fiscal year end closing for the unit. Compiles budget data and assists manager and Department Head with setting departmental budget. Compiles monthly financial summary reports for manager. Allocates and monitors support accounts for individual faculty members using Quicken and ledger sheets and advises faculty account holders on status of their accounts and on the rules for associated expenditures. Assists with the administration of contracts and grants and coordinates the disbursement of funds for all grants. Serves as Accountable Property Officer for the department. Coordinates all documents pertaining to department’s equipment inventory and conducts annual inventory.

  • Accounts Payable: Implements and coordinates departmental purchasing activities including payables, requisitions, and payment cards. Utilizes AggieBuy for preparation of payments and purchase requisitions. Reviews and approves purchasing of supplies on a weekly basis. Recommends, implements and audits unit business procedures; trains staff on new and existing business procedures. Provides oversight for departmental purchasing cards. Posts receipts to transaction logs, reviews receipts for any discrepancies, and reallocates charges to appropriate object code and accounts utilizing Concur on-line system. Serves as liaison with Financial Management Operations (FMO) and the AggieBuy team.

  • Travel Coordination: Coordinates travel for the department. Communicates state, university, and departmental travel policies to department personnel. Audits travel documents and expenses and processes for reimbursement using Concur. Ensures compliance with complex Travel and Leave procedures for domestic and foreign trips. Tracks and analyzes departmental travel expenditures and provides periodic reports.

  • Payroll: Assembles the list of faculty and graduate assistants who need to be hired or terminated, reconciles payroll charges that post to the accounts, initiates costing allocation changes, and processes payroll corrections (PCTs). Performs other duties as assigned.
