Job Summary

As a member of the Financial and Administrative Services Team (FAST) within the A.J. Drexel Autism Institute (AJDAI), the Business Coordinator is responsible for accounting and administrative responsibilities for AJDAI and its Life Course Outcomes research program area. Reporting to the Grants Manager, the Business Coordinator will perform various accounting functions in support of the finance and grants administration process. Additionally, this role will provide administrative support to LCO and its subdivisions, including scheduling and event coordination, work ticket submissions, and initiating requisitions and purchase orders for the Life Course Outcomes (LCO) research program area. Apart from reporting to the Grants Manager, this role is an integral member of the FAST Core which provides financial and operational support to AJDAI’s research staff. The FAST Core aims to provide best practices and solutions to various administrative functions and challenges, so that the AJDAI’s research staff can fulfill its mission and vision.

Essential Functions

  • Provide finance/accounting support to AJDAI
    • Monitor budgets and funds and assist with developing reports
    • Perform account reconciliations
    • Reviews and submits journal entries for ledger corrections, funding transfers and budget transfers
  • Grants Financial Support
    • Assist with Award Management by performing monthly reconciliations in accordance with established standard operating procedures to effectively monitor each award’s financial activities.
    • Facilitate labor redistributions and Electronic Personnel Action Forms (EPAFs)
    • Tracks subaward invoice processing, and sponsor payments/accounts receivable.
    • Assists with quarterly effort reports including tracking completion of certifications.
    • Assist with report preparation and submission to sponsors.
    • Prepares documents for Award Closeout and tracks for completion.
    • Work directly with Subcontractor, PI and Post-Award Office to resolve issues
    • Monitor and execute plan for addressing cost share accounts with Grants Manager
  • Procurement
    • Submit purchase orders and requisitions
    • Process non-travel reimbursements
  • Administration: Provide administrative support to LCO program areas of day-to-day needs, including:
    • Coordinate LCO Director’s calendar and team meetings/conference room bookings
    • Support monthly reconciliation of P-Card statements for LCO P-Card holders alongside Administrative Coordinator III to ensure all required reporting for the center is completed on time.
    • Liaise with Clinical and Training Coordinator to schedule clinic space & parking for families
    • Assist with event coordination and on-site participation and catering
  • Other duties as assigned

Required Qualifications

  • Bachelor’s Degree or Equivalent in Business, finance, accounting, project management or similar discipline
  • 1-2 years of experience
  • Thorough knowledge of standard office practices/accounting methods.
  • Proficient in MS Office, particularly MS Excel and Teams.
  • Excellent communication and interpersonal skills.
  • Excellent organizational skills and attention to detail.
  • Ability to work effectively in a fast-paced, team-driven environment.

Preferred Qualifications

  • 1-2 years’ experience working in Higher Education
  • Prior grant experience in Higher Education with Federal and Non-Federal funding sources (NIH, NSF, Foundations, other Federal or Non-Federal Sponsors).
  • Experience with Banner, Concur, COUES Lite, Hyperion, SmartSource (SciQuest)
  • Experience with procure-to-pay systems

Additional Information

This position is classified as Exempt, grade I. Compensation for this grade ranges from $41,120 - $61,680 per year. Please note that the offered rate for this position typically aligns with the minimum to midrange of this grade, but it can vary based on the successful candidate’s qualifications and experience, department budget, and an internal equity review.
