Business and Grants Manager

The Ludwig Princeton Branch (LPB) seeks a highly qualified individual for the role of Business and Grants Manager.  Reporting to the Sr. Manager, Finance & Administration, the Business and Grants Manager is responsible for managing the complete life-cycle of awards coming thru LPB, purchasing, and departmental financial operations.   

 

The Princeton Branch of the Ludwig Institute for Cancer Research (LICR) was established in 2021, with focus on cancer metabolism research.  The Branch is currently in expansion mode with regard to financial operations, however expected to reach steady-state in the near future.



Pre-award:

Independently manage entire pre-award proposal preparation process to include: Preparing proposal documentation, including budget proposals, in accordance with sponsor requirements and Princeton policy.  Prepare documents for and liaise with URB, IRB, IACUC, and Biosafety committee offices. Prepare grant/fellowship proposal submissions through Princeton's internal submission system (ERA) as well as through sponsor-specific systems. Confirm proposals are submitted to and received by funding agencies before sponsor's deadline.

 

Post-award:

Oversee spending to ensure grant/fellowship budgets are on track with original proposal. Prepare revised budgets and budget justifications as required. Coordinate with sponsored research office regarding items such as capital equipment purchases. Ensure timely submission of salary and wage (effort) certifications. Track and monitor department cost share commitments. Other duties include cost transfers, subcontract monitoring, and Labor Accounting for researcher salaries. Review and verify final reports with Sponsored Research Accounting and serve as a liaison between academic units and university research administration offices. Prepare financial progress/final reports due to sponsors. Work with Sponsored Research Accounting to respond to requests from internal and external auditors. Review and approve Concur expense reports. Approve all capital and fabricated equipment purchases.

 

Financial Management:

Responsible for preparing 12-month projections for all faculty on a monthly basis. Must also create customized long-term projections of faculty financial portfolios, including sponsored and non-sponsored accounts, on an as-needed basis. Short and long-term projections provide invaluable insight to the faculty's financial stability, including the funds required to sustain laboratory operations, the timing of when additional fund-raising is required, when to anticipate grant increments, and understanding spending burn rates. Additionally, the projections include a customized variable growth and income chart, to provide immediate “what if” scenarios. Based on this information, incumbent will provide recommendations as to the number of new graduate students & postdoctoral researchers each lab can support. Provide interpretation of postdoctoral researcher fellowship agreements to determine how specific fellowships should be administered. Oversee and manage LPB's annual budget, to include subaward agreement negotiations, funds transfers for participating faculty and monitoring of member (Branch faculty) and collaborator projects.  Prepare reporting required by LICR.  Incumbent will work with faculty and the Office of Technology Licensing to manage IP coming out of this unit.  Perform and oversee purchasing functions for the department, to include purchase order and non-PO entry, working with Purchasing and vendors to create master agreements, liaise with Purchasing on terms for order quotations, and onboarding vendors. Approval of expenditures, to include PO's, in accordance with funding availability, forecasted balances and account restrictions.

 

Supervision, Financial Policy Interpretation & Dissemination, Training:

Develop financial compliance and policy framework for LPB, to include best practices, segregation of duties and financial controls. Communicate university and sponsored research policies and regulations to department faculty and staff. Provide individual and group training to staff in grant systems and processes where needed. Ensures departmental compliance with applicable laws, policies, and procedures. Attend all relevant training classes and stay current with changes in policies and procedures pertaining to sponsored research. Distribute funding opportunities for internal competition to faculty, maintains internal records to track nominations, facilitate submission. Assisting faculty and researchers with various types of agreements (non-disclosure, collaboration, etc.).  Incumbent should anticipate providing supervision, support, and mentoring to additional financial staff reporting directly to this position. Ad hoc projects and other duties as assigned.



Essential Qualifications:

* 5+ years of grant related experience
* Must be detail-oriented, conscientious, and deadline-driven
* Ability to understand and interpret complex federal grant requirements and compliance issues
* Excellent communication skills and ability to interact diplomatically with donors, faculty, staff, students, and administrators
* Ability to thrive in a teamwork environment
* Excellent organizational skills: ability to manage multiple priorities in a fast paced, changing environment
* Ability to exercise independent judgment to plan and prioritize diverse workload, meet frequent deadlines, take initiative, self-motivate and function autonomously
* Ability to creatively solve problems and formulate/implement financial policies and improvements
* Ability to act as advocate for faculty, proactively investigating and navigating University business expense and research administration policies and procedures
* Must maintain strict confidentiality

 

Preferred Qualifications:

* Master's degree (MBA) preferred
* Experience with Princeton University Systems and Software including PeopleSoft, Prime Financials, ERA, Labor Accounting and the Information Warehouse
* Familiarity with University Resources (ORPA, Office of Finance and Treasury, Sponsored Research Accounting)
* Familiarity with Princeton's administrative procedures and policies
