Required Education and Experience:

  • Bachelor’s degree or equivalent combination of education and experience

  • Six years of related experience in general office, accounting, or personnel operations

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing and spreadsheet applications

  • Ability to multi-task and work cooperatively with others

Other Requirements:

  • Be able to work the Physics Festival, usually the first Saturday in April

Preferred Education and Experience:

  • Bachelor’s degree

  • Ten years of related experience in general office, accounting, or personnel operations at Texas A&M University

Preferred Knowledge, Skills, and Abilities:

  • Knowledge of word processing and spreadsheet applications

  • Famis, Canopy, and TWAPMTS knowledge

  • Texas A&M procedures and policies knowledge

  • Budget and Merit knowledge

  • Excellent oral and written communication skills

  • Ability to supervise and manage effectively

Responsibilities:

  • Business Operations - Serves as an approver of vouchers and requisitions. Reviews and approves account reconciliations of unit accounts. Assist with the management of financial transactions, including assigning costs to appropriate accounts and projects. Monitors and controls unit expenditures plan within financial policies. Develops annual budget documents for approval. Oversees business functions for units. Manages annual fiscal year closing activities. Resolves operational and procedural financial problems. Prepares and analyzes business reports.  Manages allocations and reporting. Performs analyses of resource allocations and operating fund requirements. Manages cash handling activities and unit capital equipment purchasing. Interprets System policies and regulations and University rules. Manages maintenance of unit business files. Serves as a resource to principal investigator(s) for grant development, financial administration, and reporting. Manages transfers from Development Foundation including, scholarships, fellowships, chairs and other foundation accounts associated with departmental activities. Responsible for entering all scholarships and fellowships for the department. Establishes fund codes with Student Business Services. Monitors payouts of scholarships and fellowships as outlined by the donor requirements.

  • Management & Planning Operations - Identifies business-related needs and problems, and proposes solutions. Implements and audits business procedures and trains staff on new and existing procedures. Provides advice on administrative and fiscal procedures.  Conducts surveys of customer needs and satisfaction. Conducts special investigations, program analysis, and research studies. Participates in the hiring, and training of subordinate business staff. May supervise and resolve conflicts. Plans, implements, coordinates, monitors, and evaluates financial policies and procedures. Monitors compliance with financial policies and procedures. Develops and recommends business policies, procedures, and guidelines. Develops and approves schedules, priorities and standards for achieving goals.  Coordinates and evaluates business functions. Performs other duties as assigned.
