Department Description

Supply Chain Management is responsible for delivering value to the university through internal services and external supplier partnerships. Services lines include Strategic Sourcing, Procurement and Contracting Services, Distribution Services, Accounts Payable and Travel Accounting, Banking Card Services, Storehouse Operations, and Repro Graphics Services. The department encompasses approximately 130 career staff with an annual operating budget of $23M.

This position is one of three Help Desk positions supporting the unit.



Job Summary

Under general supervision, the analyst will provide information, instruction, and assistance to UC Davis Campus and UC Davis Health staff and UC suppliers in the areas Travel, and Entertainment, and Accounts Payable. Support a multifunctional Help Desk assisting staff and suppliers with questions. Provide policy and procedure guidance to end users, ensuring all compliance policies are met with efficiency and integrity. Research reported problems to determine root cause and recommend possible solutions. The analyst is responsible for resolving tickets within their area of expertise and escalating tickets to Admin IT Operations as appropriate. Develop informational and instructional materials, additional training offerings, and user support services. Make recommendations for continued improvements to systems.

PHYSICAL DEMANDS

  • Mental Demands: Analytical and Problem Solving - Constantly , Confidentiality – Constantly
  • Work and keyboard on a personal computer for extended periods of time.
  • Travel to meetings on an as-needed basis.
  • Lift files or supplies weighing up to 25 lbs.
  • Work occasional overtime, holidays and weekends as needed. Restricted vacation during peak periods, usually during fiscal close period, June-July.

MINIMUM QUALIFICATIONS

Minimum Education/Experience:

  • Customer Service experience identifying and analyzing issues, diagnosing causes, and formulating solutions.

Minimum Knowledge, Skills, and Abilities (KSA):

  • Knowledge of travel and entertainment, accounts payable, or supply chain applications, uses and standards.
  • Basic understanding of enterprise financial systems (ERP) which manage institutional financial business, such as accounts payable, employee reimbursements, or procurement transactions.
  • Comprehend and interpret written policies and procedures and ability to communicate that information to both technical and functional audiences, verbally and/or in writing.
  • Strong organization skills. Demonstrated ability to prioritize workload, and meet multiple deadlines in the face of interruptions and distractions.
  • Decision making skills to review technical/financial information, define issues, and develop strategies to resolve issues.
  • Excellent interpersonal, oral, and written communication skills with the ability to communicate effectively either in one-on-one or group settings; by using appropriate nomenclature and terminology and by being perceptive and taking into consideration the diversity in social, cultural, professional, and educational backgrounds.
  • Skill to establish and maintain cooperative working relationships with peers, staff, faculty, the public, outside agencies, and other higher education institutions.


PREFERRED QUALIFICATIONS

Preferred Education/Experience:   

  • Experience on a Help Desk supporting end users, including incident intake through multiple channels (e-mail, phone, in-person, etc.), use of an incident tracking system, identifying and analyzing issues, escalating issues as needed, and bringing the incident to a conclusion that satisfies the end user.
  • Experience with UC financial and business systems, such as Oracle Fusion, and AggieExpense/Concur.
  • Demonstrated experience or knowledge and understanding of generally accepted accounting principles, theories and practices (GAAP-college and university preferred).

Preferred Knowledge, Skills, and Abilities (KSA):

  • Knowledge of UCOP and UCD Travel & Entertainment and Accounts Payable policies and procedures.
