Job Summary

Reporting to the Building Systems Manager, this position has primary responsibility for assisting with and coordinating repairs and maintenance of the Building Management Systems (BMS), Heating, Ventilation, and Air Conditioning (HVAC), and Mechanical, Electrical, Plumbing (MEP) and Fire Protection (FP) services and systems.  

The Building Services Coordinator assists with repair and maintenance projects, oversees small construction projects, and supports building systems' operational upkeep and replacement.

During emergency situations and severe inclement weather, this position is designated as essential and critical to the operations of Radcliffe. A position that is designated as critical includes responsibilities that must be performed despite an emergency closure or curtailment.


Position Description

  • Coordinates with Facilities Maintenance Operations (FMO) and other vendors for MEP, FP, HVAC, repairs, and maintenance. 
  • Monitors MEP, FP, and HVAC preventative maintenance and planned replacement programs.
  • Investigates MEP, FP, and HVAC work order inquiries. Reviews completed work orders for quality and cost control. Does repair and maintenance work, as needed. 
  • Regularly interacts with building occupants, promptly responding to occupant building problems/requests and resolving them quickly.
  • Serves as daily liaison for building trades & contractors, including grounds maintenance, snow operations, and yard set up. Directs their day-to-day activity and assures timely and cost-effective completion of work.
  • Oversees small capital and non-capital construction projects. Monitors construction from beginning to closeout; helps develop scope of work; meets with designers/engineers and architects; documents projects per University guidelines; assists with contracts and safety compliance; solicits bids and schedules work. Monitors invoices against budget. 
  • Acts as staff contact on large construction projects and assists in developing specifications, planning, and coordination.
  • As a member of the facilities team, works closely with Harvard University Office for Sustainability staff to implement the operations and maintenance best practices and to actively participate in HRI greenhouse gas and energy reduction efforts and goals.
  • Leads the HRI Green Team: implements and coordinates recycling waste reduction, green purchasing, and energy conservation initiatives, encourages staff to recycle through continuous education and engagement, 
  • Performs other duties as assigned.

Basic Qualifications

  • 3+ years' experience in maintenance, construction, or building trades. HVAC, mechanical, plumbing, electrical, repairs, and maintenance knowledge is required. 
  • Must be able to work as part of a team on various projects and possess excellent customer service skills.

Additional Qualifications and Skills

  • Bachelor's degree in Facilities Management is preferred.
  • Ability to learn and adapt to new technology is required. 
  • Must be proficient in using Microsoft applications, particularly Excel, Word, and Outlook. 
  • Knowledge of Direct Digital Control systems (e.g., Siemen's Citrix) and Daily Maintenance Systems (work order); AutoCAD, AV equipment operation, elevator controls, fire alarm, and door access and security systems is preferred. 
  • Demonstrated ability to take initiative and solve problems, including thoroughly gathering information to inform problem-solving.
  • Familiarity with Photovoltaic Solar Panel Systems is a plus.
  • Knowledge of construction techniques, OSHA training, building operations, and life safety systems required.
  • Experience working with outside vendors under contract for major service delivery is desired.

Certificates and Licenses

Must have a valid U.S driver's license.


Physical Requirements

  • Walking daily throughout various facilities
  • Frequent standing, walking, bending, climbing ladders or balancing, stooping, kneeling, crouching, or crawling. 
  • Mobility of arms to reach and dexterity of hands to grasp and manipulate small objects is required.
  • Ability to perform work involving frequent lifting, pushing, and pulling objects in excess of 50 pounds. 
  • May be required to work at heights above ground level, such as step ladders, extension ladders, scaffolds, high-lifts, and confined spaces.
  • Required to wear personal protective equipment and clothing when appropriate. 

Working Conditions

  • Work is indoors/outdoors. 
  • The employee must be able to work safely in an environment containing caustic chemicals, cleaning materials, dust, and noise. 
  • Frequently required to work under inclement weather conditions. 
  • The noise level in the work environment is usually moderate and occasionally loud. 
  • Display knowledge of the safe operation of equipment while maintaining the level of safety required
