Occupational Summary:

The Trinity College of Arts & Sciences Director of Facilities is looking for an individual to serve as an interface between the TCA&S Facilities department and TCA&S academic departments for the daily management of over l million square feet of office, classroom and laboratory space through space analysis, project planning, and building renovations.

Work Performed:

Develop preliminary scope, schedule and budget estimates on projects less than $100k.

  • Coordinate and manage these facilities maintenance, renovation, and construction projects to ensure:
  • Plan and specification conformity;
  • On-time scheduled completion; and
  • Budget compliance.
  • Assist FMD - Office of Project Management, and A&S Facilities Management in the planning, design, and execution of projects ranging from $100,000 - $500,000; monitoring the scope of work, the quality of workmanship, and assisting with scheduling and reviewing change orders.
  • Attend project meetings to coordinate project activities with outside designers, contractors, and vendors. Serve as the building contact person to ensure all building parties including Business Managers and Department heads are aware of the project status including any project complications, noise restrictions/ time sensitive work, and scheduled building shut downs.
  • Meet with vendors and contractors at job sites to secure safe access, investigate field conditions, and confirm construction quality in an effort to help reduce financial risk. Upon inspection and approval of work performed, remit payment to contractors.
  • Complete all paperwork through SAP to secure Duke authorized PO's and assign correct cost object to each project/task.
  • Act as project liaison with each department and program working collaboratively among the various University departments including OFSO, OIT, Ouke Police, and FMD to ensure clear, on-going communication regarding project scope, schedule and budget.
  • Plan and budget department/program moves and relocations to ensure appropriate space needs are met and to guarantee proper care is taken with existing furniture.
  • Prepare a cost analysis and report at the end of each project to compare projects to actuals and give appropriate recommendations and measures to ensure greater financial success.
  • Keep project records and documentation for reference.

Coordinate and monitor the activities associated with East Quad

  • Monitor the physical, environmental, and security conditions of: Classroom Building, East Duke, West Duke, White Lecture Hall, Baldwin, Biddle, Friedl, the Ark, Old Duke School, Thompson Writing Ctr., Academic Advising, Bishop, Crowell, Branson, Bivins etc.

Space Management

  • Manage all A&S Programs and Departments space including the management of data collection for maintaining correct space assignments and room use as well as for yearly planning and budgeting.
  • Perform building surveys to update Web Central (Over 60 buildings).
  • Update building space using AutoCAD, Archibus & Archibus Overlay to provide correct computer generated drawings.
  • Update and maintain departmental  website  to  include  furniture  offerings, and A&S policies including: classroom, posting, key control , access etc.

 
Minimum Qualifications

Education

Work generally requires the ability to coordinate activities, analyze diverse situations and recommend appropriate conclusions normally acquired through completion of a Bachelor's degree program.

Experience

Work generally requires the ability to organize and coordinate a OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE variety of facility maintenance and management activities normally acquired through three years of directly related experience.
