Description of primary duties and responsibilities:
Primary Purpose of the Organizational Unit:

The Building Environmental Services Supervisor 1st shift reports to the Building Environmental Services Supervisor-A Senior Supervisor and assists with day-to-day management of housekeeping department operations. Activities include but are not limited to monitoring building conditions and staff productivity, ensuring housekeeping staff are working safely and efficiently, and following safety procedures. This position will provide housekeeping skills and individual developmental training to staff. The BESS- housekeeping supervisor may work with other units within facilities management and various campus stakeholders to ensure proper support is provided. This position requires sound housekeeping technical knowledge, solid leadership skills, and the ability to ensure all functions and goals of the housekeeping operations are met.

Managing Work Processes and Performance-30%:

  • Evaluates and verifies employee performance through the review of completed work assignments and work techniques. Monitors the workflow of employees.
  • Monitor’s attendance of employees and takes corrective action if necessary.
  • Maintains records, prepares reports, and composes correspondence relative to the work.
  • Ensures that employees are on campus and completing duties during work hours unless otherwise excused by submitting proper leave forms.
  • Makes rounds to check for crew coverage of designated work areas, assigns needed coverage, gives special cleaning instructions and/or assignments, and ascertains compliance with directives.
  • Coordinates the completion and closing of assigned work orders.
  • Ensures proper personal protective equipment is used by staff.


Planning and Organizing Work-20%:
  • Selects and assigns staff, ensuring equal employment opportunity in work assignments and promotional recommendations.
  • Coordinates activities by scheduling work assignments, setting priorities, and directing the work of subordinate employees.
  • Adjusts workforce assignments to clean buildings during an absence.
  • Ensures equipment is in working order.
  • Inspects a minimum of 5 buildings weekly for overall cleanliness.
  • Creates a schedule for the cleaning of private rooms and offices.
  • Assists manager with long-range planning.
Description of Work Continued:
Training -15%:

  • Plans and conducts onboard training and continued education for all employees of the housekeeping unit of Facilities Operations in accordance with university and departmental policy.
  • Develops plans to improve knowledge base of housekeeping employees.
  • Recommends and assists in the development of a training program while providing insight and leadership to help standardize practices.
  • Provides on-the-job training as specified by Superintendent-Building Services and Supervisor.
  • Conducts Annual, Quarterly, and Monthly, training meetings while managing and facilitating discussions and review procedures for all areas of the housekeeping unit.
  • Ability to prepare training plans and materials while developing and evaluating the training program for changes or improvements.
  • Must complete a minimum of 24 hours of technical professional development annually.
  • Maintain accurate and organized records of training program logs for each employee within the housekeeping unit.
  • Interpret quality assurance philosophy to key personnel.
  • Gather information to evaluate current work processes in order to determine the flow of work, time requirements, costs, and duration.
  • Develop strategies and programs that improve the productivity and efficiency of department work processes.
  • Ensure maintenance of training records for the department. Edit and publish information such as (but not limited to) presentations, training schedules, trainer and classroom utilization, newsletters, handouts, reports, and operating procedures as required.
  • Creates career development and performance plan while evaluating building environmental services technician job functions.


Inventory-15%:

  • Support Inventory control procedures by overseeing the distribution of inventory and supplies on a weekly basis.
  • Help assist in the inventorying of equipment utilized within the Building Environmental Services unit.
  • Assist in investigating departmental needs and inventory and equipment usage to help ensure safe and efficient functions are being met within the unit.
  • Assist in the selection of acceptable product brands, plan and monitor the use of expenditures to meet the department’s objective and safety compliance.
  • Assist in providing and monitoring equipment inventory, serving as the primary contact for the fixed asset and consumables inventory for the housekeeping unit.
  • Fields’s equipment and inventory concerns and maintains equipment and consumables inventory using the inventory control application.


Communication-10%:
  • Participates in meetings, workshops, and seminars for the purpose of ensuring the efficient and effective functioning of the work unit.
  • Presents information for the purpose of communicating information, gaining feedback, and ensuring adherence to established internal controls.
  • Collaborates with other departments on campus for the purpose of implementing and maintaining services and/or programs.

Knowledge-10%:
  • Ability to serve as a technical expert within the work unit.
  • Ability to guide, direct, and coach others regarding the application and interpretation of technical issues.
  • Ability to apply and interpret technical knowledge to resolve unique or highly complex situations.
  • Ability to analyze and research appropriate solutions.
  • Researches and implements the use of new tools, products, processes, and or equipment within the broad scope of a program to facilitate efficient and effective housekeeping services.

Minimum Education and Experience Requirements:
Graduation from High School or possession of a GED, and one year of experience in the area assigned; or an equivalent combination of training and experience.
Degrees must be received from appropriately accredited institutions. Where applicable, must be eligible for required certification.
A valid driver’s license. Must have and maintain an acceptable driving record, preferably five or more years of driving experience with no more than one minor at fault accident or violation in the past three years.

Knowledge-Technical- Advises staff of specialized building maintenance techniques and processes for use In unusual situations or problems. General knowledge of established maintenance procedures and techniques and special applications required in assigned areas. Ability to follow a daily work schedule and observe the performance of a small work group and react to situations requiring minor adjustments to routine.
Dependability/Attendance- Ability to demonstrate dependability, which requires daily attendance. Ability to report to work daily, for a full shift, at an appropriate time. Ability to submit leave request at least 5 days in advanced as much as possible.
Communication- Conveys information clearly, confidently, and with a proper tone. Facilitates open communication. Uses discretion and demonstrates sensitivity to confidentiality concerns. Listens effectively and provides appropriate feedback. Should check and respond to emails daily. Ability to develop and deliver written information to individuals or groups to ensure that they understand the message.

Preferred Qualifications:
Ten years of supervisory experience, preferably in a university environment.
Three years of advanced experience in the maintenance or operation of custodial equipment
Certified Educational Facilities Professional credential (CEFP) or ISSA certification.
