Summary

The Office of Medical Student Education - Curriculum Services seeks an experienced administrative specialist for the Branches curriculum phase.  This position will partner with faculty and staff in the administration of the Branches Residency Prep Course, Hospital Based Care Branch, and PBSI-2 course.  The position requires a strong focus on teams, project management, value-based financial administration and efficiency.

Responsibilities*

Program administrative and faculty support to the Internal Medicine Residency Prep Course (RPC) program.  As lead administrator for the RPC course, partner with faculty to operationalize the program, including:

  • Manage course schedules, acting as a liaison across Office of Medical Student Education and external stakeholders. 
  • Collaborate with faculty and Program Manager to create, coordinate and implement student seminars and educational events. 
  • Develop and manage Canvas platform and DropBox resources, including calendars, assignments and evaluations.
  • Facilitate monthly team meetings, communication strategies, and student performance tracking. 
  • Manage student assessment and grade information in the ARB software system, coordinating faculty finalization.  Monitor system procedures are in place to meet department and accreditation requirements.  
  • Organize and oversee room reservations, attendance, technology set-up and materials for instructional sessions.
  • Oversee support services and contract employees, creating invoices and managing payments.  
  • Assist with development and management of administrative budgets.
  • Process, maintain and track expenses, purchasing and honorariums.
  • Assist the delivery of RPC curriculum to the other 5 prep courses as needed.  This includes updating course materials, correspondence, program evaluation, and assessment tools.

Provide administrative and faculty support to the Hospital Care Branch, PBSI-2 course, and other assigned electives.  This includes:

  • Collaborate with faculty and Admin Manager to provide project management support for Hospital Based Care Branch.
  • Manage the process for upload and assigning new HBC Branch students into ARB.
  • Coordinate and support administration of PBSI-2 required course, educational projects, course materials, correspondence, program evaluation, and assessment tools. 
  • Create and update associated Canvas websites.
  • Serve as system administrator for the ARB evaluation database, collaborating with faculty to process evaluations as requested.
  • Collaborate with Director of Apprenticeship to support the longitudinal clinical experience and the faculty preceptors who work directly with students.  Update and distribute course materials, assignments, correspond with preceptors, students, and Director of Apprenticeship.
  • Manage DropBox resources and develop new Canvas sites for the longitudinal Apprenticeship.
  • Assist the Admin Manager with Apprenticeship course evaluation and assessment tools.

Branch operations and support, including:

  • Committee facilitation, including oversight of meeting minutes and distribution for assigned subcommittees.
  • Enter data to OASIS database, ensuring program objectives and keywords are accurately recorded.
  • Facilitate the annual M2 branch declaration and branch advisor assignment process. This includes sending student/advisor pairing emails and entering these assignments into the ARB student record.
  • Support the administration and delivery of Branch-wide events that include the M3 Branches Launch as well as the Spring Conference.

Required Qualifications*
  • Bachelor's degree.
  • Two- to four-years of experience in health professions education and/or academic setting.
  • Polished organizational and problem-solving skills with an ability to manage competing priorities independently.
  • Adept at handling multiple needs from multiple people while meeting short- and long-term deadlines.
  • Proven ability to work with faculty, students, and staff.
  • Experience using Microsoft, Google, and other applications/learning platforms such as Canvas and DropBox.

Work Locations

This position may be eligible for remote and/or flexible work opportunities at the discretion of the hiring department.  Flexible work agreements are reviewed annually and are subject to change dependent on the business needs of the hiring department, throughout the course of employment.


Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
