Department Description

The College of Engineering has 8 academic units and the Dean’s Office, with approximately 230 tenure track faculty members, including 3 faculty with joint School of Medicine appointments; 200 teaching assistants (50 TA FTE); 170 FTE career staff, and approximately 825 additional personnel, including Unit 18 lecturers, adjunct faculty, emeriti faculty, professional researchers, project scientists, academic coordinators, academic administrators, contract staff, specialists, junior specialists, postdoctoral scholars, graduate student researchers, student assistants and fellowship, block grant and training grant appointees. The Purchasing/AP Shared Services Unit supports all transactional work for these users. The incumbent will reach out to central units across campus to participate in workgroups and represent the COE with University of California Office of the President and University of California Davis policies and guidelines that relate to procurement and the supply chain.



Job Summary

Under general supervision of the Unit Manager, responsible for the procurement of major scientific equipment, computer software/hardware, laboratory equipment/supplies, license agreements, service maintenance agreements, and office supplies for the faculty research programs and the administrative units within the College. Responsible for all accounts payable including reconciliation of orders, packing slips, and invoices; and for processing of all invoices and credit memos; direct charge reimbursements; and travel and entertainment reimbursements.

PHYSICAL DEMANDS

  • Physical Demands: Sit for prolonged periods of time at a computer terminal. Work in an open office space with numerous interruptions.
  • Lifting Requirements: Move and transport equipment weighing up to 25lbs.

·         Limited vacation usage during fiscal close.

·         Work occasional overtime.

MINIMUM QUALIFICATIONS

Minimum Education/Experience:

·         Experience using automated accounting system to process a variety of purchasing and accounts payable documents.

Minimum Knowledge, Skills, and Abilities (KSA):

·         Computer skills using PC/Mac, MS Word, MS Excel, MS Outlook.

·         Skills to utilize e-mail, accounting software, word processing and MS Office.

·         Skills to perform simple mathematical calculations and to operate a 10-key calculator.

·         Skills to organize daily, weekly, monthly, and quarterly workloads.

PREFERRED QUALIFICATIONS

Preferred Knowledge, Skills, and Abilities (KSA):

·         Knowledge of the UC Davis Financial Information System (DaFIS).

·         Knowledge of university and agency policies

·         Interpersonal skills to interact effectively and maintain excellent working relationships with faculty, postdoctorals, staff, graduate/undergraduate students, vendors, and various campus service units to accomplish job functions.
