Department Description

Department Purpose

The Phoenix Cluster provides administrative support for instructional and research activities in the Departments of Plant Pathology, and Entomology and Nematology within the College of Agricultural and Environmental Sciences. There are approximately ~45 PIs and ~24 administrative cluster staff with over 500 employees in the departments.



Job Summary

Under supervision of the Business Office Supervisor provide administrative support to faculty, staff and students in the Phoenix Cluster with full travel arrangements, travel and entertainment reimbursements, purchasing, processing billing transactions, accounts payable and receivable, equipment inventory and key control. This position is an essential position and may be required to be on campus up to 100% of the position’s work schedule during times of reduced or suspended operations.

PHYSICAL DEMANDS

  • Sit at computer video display. 
  • Enter and retrieve information using computer keyboard and mouse for extended periods. 
  • Lift and move office equipment/supplies weighing up to 30 lbs.

WORK ENVIRONMENT

  • Work occasional overtime to meet project deadlines or operational needs.

QUALIFICATIONS

 

Required:

 

Minimum Education/Experience     

  • Experience processing travel arrangements, monitoring travel activity and expenses; purchasing equipment and lab supplies.

 

  • Experience with accounts payable/receivable. Working with invoices, monthly reconciliation of purchases.

 

  • Experience providing customer service and administrative support in a busy academic office setting.

 

  • Knowledge of and experience with key control and inventory procedures and the skills to establish and maintain key control logs to insure accountability.

Minimum Knowledge, Skills, and Abilities (KSA)

  • Computer skills using software programs such as word processing, spreadsheets, accounting, database management programs and travel.

 

Preferred:

Preferred Education/Experience

  • Knowledge and experience with UC and department equipment management and inventory policies and procedures, knowledge of the CAMS portion of DaFIS, and ability to properly inventory the assigned equipment.

Preferred Knowledge, Skills, and Abilities (KSA)

  • Knowledge of UC policies and procedures related to purchasing, and travel and entertainment.

 

  • Be able to interpret and apply policies and procedures related to purchasing, accounts payable, travel, and entertainment.

 

  • Skills to organize work effectively to achieve timely progress on multiple simultaneous projects meet deadlines and maintain a high level of productivity.
