Job Summary

Under the direction of the Accounts Payable Supervisor, prepare and process payments to vendors. Monitor purchase order activity for compliance. Validate ledgers monthly for compliance and determine the validity of charges/credits. Review G/L for purchasing activity ensuring commodities and accounts are charged and purchased correctly. Audit invoices to pay maintenance and service agreements.

MINIMUM QUALIFICATIONS

Minimum Education/Experience:

  • Experience in accounting and account payable.
  • Experience using automated financial systems to process and validate accounts payable actions including generating invoices, agreement, and receipts.

Minimum Knowledge, Skills, and Abilities (KSA):

  • Knowledge of policies and procedures related to accounting, business contracts and purchasing.
  • Skills to record, analyze and verify financial expenditures and research and secure information to resolve purchasing problems.
  • Interpersonal and communication skills to work with diverse constituents including campus administrators, donors, faculty, staff, student and non-University individuals.
  • Customer service skills to exercise diplomacy in dealing with others and to resolve potential problems and discrepancies. Time management and organizational skills.
  • Skills in software use such as Word, Excel, email, Internet Explorer, Outlook, etc. Math skills to add, subtract, multiply, divide, and calculate percentages to accurately process transactions. Skills in record keeping and filing. Proofreading and editing skills.


PREFERRED QUALIFICATIONS

Preferred Education/Experience:   

  • Experience with UCD on-line systems such as DaFIS.

Preferred Knowledge, Skills, and Abilities (KSA):

  • Knowledge of University and departmental policies, procedures, practices and protocols, including UC ethical requirements.
  • Knowledge of university forms, policies and procedures in the areas of general accounting, self-supporting units, accounts receivable, purchasing, and invoicing.
