Position Summary

The University of Southern Indiana is accepting applications for Benefits Coordinator.

Assist Human Resources management in the administration, coordination, and promotion of University benefits.

Duties/Responsibilities 

  • Enter benefit related data for new benefit-eligible employees, existing employees due to qualifying event changes, and employment terminations in the human resources information system (HRIS) and the benefits administration platform. Ensure accurate input with a high attention to detail. Identify and process additional insurance premiums owed, and refunds based on HRIS payroll deduction schedule. Compare entries with reporting from benefits administration system.
  • Administer university non-leave benefits, including but not limited to medical, dental, vision, group life, flexible spending accounts, health savings accounts, retirement plans, and employee assistance program. File life insurance claims. Administration of online benefits platform, record entries and ensure proper document retention. Complete payroll notification for deductions and save documentation in the corresponding payroll folder. Assist employees daily, via telephone, e-mail, virtual and/or in person with questions or claims issues.
  • Conduct group and individual presentations for new employees’ benefit orientations for exempt and non-exempt employees, which includes presenting benefit information and ensuring employees enroll online for their benefits. Keep benefits presentation and other materials up to date.
  • Collaborate with the human resources generalist, benefits, to ensure employees on leave complete benefits enrollment via the benefits platform for qualifying event changes. Ensure quick turnaround for time sensitive changes.
  • Act as a liaison between employees, retirees, and insurance providers to resolve problems and ensure effective utilization of plans, positive employee relations, and effective vendor relationships.
  • Evaluate and track electronic application submissions to determine eligibility of Tuition Fee Waivers, noncredit Fee Waiver, and ‘Time to Get Fit Program’. Assist employees and retirees with Tuition Fee Waiver inquiries. Communicate relevant information with the Bursar’s Office regarding Tuition Fee Waiver.
  • Communicate relevant information with Human Resource staff regarding benefit input in HRIS and employee benefit changes.
  • Maintain a comprehensive understanding of Banner HRIS. Request HRIS Banner scripts to maintain benefit reports. Assist in the identification and correction of HRIS data errors generated from internal and external sources. Assist benefits manager with creation and maintenance of current and user-friendly training manuals.
  • Maintain a comprehensive understanding of health savings accounts. Educate employees about how the health savings account operates. Maintain that all health saving account holders receive timely contributions and do not exceed their annual maximum contribution. Annually audit health savings accounts.
  • Maintain a comprehensive understanding of flexible spending accounts. Educate employees about how the flexible spending account plan operates, such as debit card usage and reimbursement processes. Notify vendor of payroll contributions, enrollments, changes, and terminations through their secure employer web portal.
  • Maintain a comprehensive understanding of retirement plans. Administer employees’ elected retirement percentage into HRIS Banner. Assist employees with necessary calculations, enrollment process, and providing accessibility of resources to the plan’s representatives for individual consultations.
  • Assist with HRIS mass data changes at year end, including maintaining the file changes.
  • Maintain inventory of benefit materials and general human resources information.
  • Assist in coordination of annual Retirement Workshops with Social Security Administration, TIAA and INPRS (PERF) Retirement vendors. Work closely with Special Events department to obtain event locations. Work closely with Outreach and Engagement department for workshop registration process. Work closely with Communications department for campus-wide employee announcements.
  • Coordinate the TIAA representative’s monthly campus individual meetings and INPRS (PERF) quarterly campus individual meetings. Work closely with Special Events department to obtain event location. Email employees regarding campus visits.
  • Assist in coordination of annual open enrollment benefits event with vendors (including but not limited to medical, dental, vision, retirement, life, disability, EAP). Work with Special Events department to obtain event locations and room layout. Arrange supplies and materials for distributions to employees. Work with Communications department for campus-wide employee announcements.
  • Lead coordination of annual Wellness Fair event with the wellness fair committee. Work with Special Events department to obtain event locations and room layout. Arrange supplies and materials for distributions to participants. Work with Communications department for campus-wide employee announcements.
  • Assist none-exempt employees in retirement process, completing retirement paperwork and educating employees about the retirement policy and options. Complete retirement documentation and process retirements.
  • Assist in coordination of local hospitals’ mammogram campus visits. Work closely with Special Events department for event locations. Work with Communications department for campus-wide employee announcements.
  • Act as back-up to the human resources, generalist, benefits, and benefits manager including checking payroll data and FMLA and worker’s compensation leaves.
  • Prepare initial drafts of correspondence, reports, and memos as assigned.
  • Perform employment related functions as assigned.
  • Other duties as assigned.

Required Knowledge and Skills

  • High School diploma or G.E.D. equivalent.
  • A minimum of two years finance, accounting, benefits or human resource related experience.
  • Proficiency with Microsoft Office software required, i.e., Word, Excel, Access, Outlook, and PowerPoint. Internet proficiency.
  • Excellent interpersonal, organizational, and time management skills with a high-level attention to detail required; ability to handle multiple projects with demanding deadlines.
  • Ability to make sound/logical judgments when interacting with employees/retirees and benefit representatives.
  • Ability to understand insurance laws/regulations and plan design.
  • Ability to maintain a high level of confidentiality.
  • Must be empathic and show compassion while dealing with difficult employee benefit related issues.
  • Must be self-motivated and able to function independently with little supervision or direction.

Preferred Knowledge and Skills

  • Associate or Bachelor’s degree or equivalent post-secondary education strongly preferred.
  • Database HRIS experience preferred.
  • Previous supervisory experience preferred.

Regular Work Hours/Travel Requirements


  • Standard work hours are Monday through Friday, 8:00 a.m. until 4:30 p.m.
  • Occasional extended or irregular hours may be necessary to complete special projects or during other programs.
