Duties and Responsibilities

Reporting to the Associate Chief Operating Officer, the Assistant Vice President of Support Services provides leadership, direction, and oversight for all support services planning, management, and operations for Duke University Hospital and provides a safe and efficient working environment, essential to the performance of the hospital. As a member of the management team, she/he participates in institutional planning, policy development, priority setting and management decisions. She/he will have full operational responsibilities for Food Services, Environmental Services and Valet Services including contractual oversight. The Assistant Vice President is committed to providing our customers with the highest quality results for our offerings of cleaning, food services, facilities management, and valet parking.  She/he is also responsible for representing Duke Hospital as the liaison to Engineering and Operations, Facilities, Planning & Design, Grounds and Parking &Transportation.   The Assistant Vice President manages an operational budget of over $50 million with approximately 1,000 fte’s.  .

Responsible for the management of the operational department budgets including the analysis of expenses and monthly reports, and the creation of an annual budget. Create and communicate budget reports. Monitor, verify and reconcile expenditure of budgeted funds.

Ensure consistent and accurate interpretation and application of human resource policies and procedures. Interpret and administer policies pertaining to the recruitment and retention of employees.

Lead and manage process improvement projects that deliver a measurable impact on quality, safety, efficiency, and positive patient experience. Partner closely with clinical and administrative leadership to identify improvement priorities and goals, and partner with them to deliver improvements to clinical and operational processes.

Additional duties and responsibilities include

  • Demonstrates strategic thinking in planning, implementing, and evaluating systems/programs/initiatives to ensure the future growth and sustainment of the organization. Develops and implements operational objectives, goals, and specific strategies required to support and achieve the strategic outcomes (capital equipment/replacement/maintenance) of the department/organization.

  • Provides leadership and direction for all support services contract-related activities.

  • Together with Regulatory Affairs, ensure the Hospital’s compliance with OSHA and other regulations. Lead efforts to respond to OSHA, EPA, and other regulatory agency’s requests, audits, etc.

  • Performs routine EOC Rounding.

  • Proven ability to collaborate with campus constituents, architects, engineers, city/state/federal officials, building officials, trustees, etc.

  • Experience both developing and reviewing contracts, RFI’s, and other related documents.

  • Demonstrated expertise with document control, including outstanding organizational skills.

  • Proven supervisory and management skills.

  • Recent hospital experience with direct responsibility for facilities management, experience designing business plans, and experience in a large complex academic medical center is preferred. 

  • Demonstrated leadership and complex organizational management skills.

  • Well-developed planning, organizational development, and business skills.

  • Knowledge of contract management in healthcare administration.

  • Experience in healthcare administration in a large and complex setting and contract negotiations within a unionized environment.

Minimum Qualifications

Education

Work requires a Master's degree in a related field; or equivalent experience.

Experience

Work requires a minimum of 5 years experience in responsible hospital operations including at least three years at the administrative leadership level.
