Job Description:

The Auditions Coordinator supports the thousands of prospective students applying to both Berklee College of Music and the Boston Conservatory at Berklee. Under the broad supervision of the Assistant Dean, Recruitment Experience (Admissions), the Auditions Coordinator coordinates the successful implementation of both institutions audition and interview processes and initiatives, including, but not limited to operational logistics, scheduling, and communications, all while giving particular consideration to use of technology in streamlining and maintaining procedures. The Auditions Coordinator provides world-class service and VIP treatment to all prospective students and their families through relationship building and counseling. Audition Scheduling & Operation Logistics:

  • Schedule each applicant's in-person audition and interview; effectively communicate the audition date, place and time.

  • Assist with the reschedule request program adhering to current department policy; Assists with providing reporting, insight, and participation in a yearly review of the program.

  • Schedule each applicant's online audition and interview; effectively communicate to and follow-up with each applicant regarding the audition technology requirements, date and time; the online process requires additional data management, attention to collaborating across time zones, and leverage specific communications cycle.

  • Assists with the setup of an online audition event including creation of virtual rooms utilizing the Zoom Video Communications platform, collaborating with necessary Enrollment and Marketing team members.

  • Serves as a primary technical resource in the department for online auditions and interviews.

  • Assists with the scholarship auditions for special programs including various Berklee On The Road Events; scheduling, applicant outreach pre- and post- event.

  • Assists with the development of training materials to be utilized by staff and student employees.

  • Other duties as assigned.

Audition Event Management and Facilitation:

  • Prepares all materials needed for an on-campus event; Collaborates with various Enrollment Team members to ensure all preparatory work is completed prior to an event.

  • Collaborates with the Enrollment Marketing team to coordinate A&I follow-ups and correspondence with prospective applicants.  

  • Provides expert technical assistance during events.

  • Assists with the supervision of Audition Team student employees when needed.

  • Assists with the catering and setup for on-campus audition events, partnering with internal and external vendors.

  • Other duties as assigned. 

Customer Service and Communication:

  • Serves as one of the main points of contact for correspondence relating to the auditions component of the admissions process for both Berklee College of Music and the Boston Conservatory at Berklee.

  • Ensures that the highest level of service is provided to applicants with a view towards ensuring that their experience far exceeds that of any competing institutions.

  • Counsels applicants and their families on the expectations, format and content of the audition and interview portion of the application and how it relates to the full admissions process.

  • Other duties as assigned. 

Knowledge and Skills Required/Preferred:

  • Minimum 1-3 years of relatable experience preferred.

  • Strong organization, administrative and time-management skills.

  • Proven track record of customer service-related skills.

  • Proficient technical skills; Experience with Salesforce, Zoom, FormAssembly,  and Filemaker Pro strongly preferred.

  • Must be self-motivated, possess an entrepreneurial spirit, and have the ability to work independently.

  • Experience with event management and facilitation a plus.

  • Mature interpersonal skills to deal with a broad range of issues and personalities with particular emphasis on student audition counseling; ability to communicate effectively with faculty, staff, prospective students, parents and other external contacts. 

  • Able to conduct both written and oral communication in an articulate, professional and knowledgeable manner.

  • Music training and experience strongly preferred.
