Athletics Travel Operations Coordinator

Job Description:

Brown University Athletics is seeking candidates for the Athletics Travel Operations Coordinator position. This position is responsible for organizing, arranging, and supporting athletics team travel needs for the Division of Athletics and Recreation. This role will serve as the main point of contact for all travel needs, acting as the liaison between coaches/staff and all third-party travel vendors. Must have ability to work flexible schedule including nights, weekends and holidays as needed.

Responsibilities

  • Coordinate all aspects of travel arrangements for varsity and club athletic programs as well as administrative units in the Division of Athletics and Recreation. Help source safe and cost-effective means of travel while collaborating with coaches and administrators to meet all travel needs.
  • Coordinate with offsite travel agents to secure quality hotel and flight accommodations that are cost effective for away travel, recruiting travel, official visits and administrative travel.
  • Coordinate with third party bus company to secure transportation for all home and away contests.
  • Assist the Senior Business Office Manager with varsity sports programs on individual team travel budgets and annual budgeting process.
  • Educate and train coaches and staff on travel procedures and policies. Create and maintain easy “how to” reference guides for travel procedures.
  • Assist with payment and reconciliation for all team travel vendors.
  • Verify monthly P-Card transactions for the Division’s travel card.
  • Coordinate with varsity sports programs on itineraries for away travel and official visits as needed.
  • Keep up to date records of all team travel information and itineraries.  
  • Assist teams and administration with ad hoc travel requests as needed.
  • Exhibit the highest professional standards and ethical behavior with adherence to NCAA, Council of Ivy League Presidents, University, and the Division of Athletics and Recreation policies.
  • Contribute to the maintenance of good working relationships with all members of the division and campus partners.
  • Other duties as needed.
  • Possess a willingness and ability to support a diverse and inclusive environment.
  • The successful candidate for this position will be required to complete criminal background check and DMV checks satisfactory to Brown University prior to commencing employment.

Minimum Qualifications

  • Bachelor’s degree or equivalent combination of education and experience
  • 1-2 years of related experience
  • Strong organization skills and attention to detail.
  • Aptitude to interact effectively with coaches, administrators, and vendors.
